Overview
Responsible for performing a variety of duties in order to provide general clerical and reception support for the Sheriff’s Office and staff. Work involves coordination of electronic and paper records management for the Sheriff’s Office; acting as a liaison between the Sheriff’s Office and other agencies; maintaining and updating records; and providing notification of case status and changes.
Incumbent:

- Receives, verifies and validates various citations, incident and arrest reports, using Badger Traffic and Criminal Software (TraCS) system within required timeframe
- Monitors status, processes appropriate documentation, and enters data in accordance with established procedures
- Files incident reports and arrests
- Verifies and prepares adult and juvenile ordinance violations for court
- Notifies parents of juveniles that a citation was issued
- Sends letters to defendants correcting errors on court date, time, or bond amounts
- Relays messages including subpoena and court date cancellations to detectives and deputies
- Responds to requests for accident reports from the public, insurance agents, and attorneys
- Prepares quarterly accident report
- Receives and responds to criminal background records check requests
- Searches computer databases for information, compiles and deciphers coding, prepares and sends report and bill for fees
- Operates software and hardware to produce, manage, and file digital photos and prepares billing invoices
- Prepares agendas and minutes and reports for Highway Safety Committee
- Makes and distributes copies of cases to requesters such as District Attorney, Corporation Counsel, detectives, deputies, other law enforcement agencies, insurance companies, and the general public
- Determines if cases can be released in full or in part in compliance with “open records laws” and agency policy
- Provides general clerical support and backup to Administrative Services Division Staff, performing such duties as typing, transcription, data entry, answering telephone, reception, photocopying, filing, or other related duties as assigned or directed
- Performs duties to process any action requiring immediate response, such as arranging for process service and getting restraining orders out to road
- Serves civil process as a deputized Sheriff’s agent to individuals voluntarily presenting themselves in the office
- Performs other related duties as assigned or directed
- High School diploma or its equivalent (GED)
- One (1) or more years of previous general office experience
- Proficiency in personal computer use with Microsoft Office software
- Experience or training in each of the following areas: records management principles and practices; legal process and terminology
- Keyboarding skills of 55 wpm
- Appointment will be conditional upon successful completion of the following pre-employment checks
- Criminal background check
- Caregivers background check
- Local records check, including Department of Transportation and NCIC/CIB wants/warrants database
- Fingerprints will be kept documented on file for identification purposes
