Classroom Facilities Coordinator

Academic Technologies has an outstanding opportunity for a Classroom Facilities Coordinator to join their team. Reporting to Manager of Classroom Facilities and Operations, the Classroom Facilities Coordinator is responsible for oversight of classroom facilities and furniture maintenance. The roughly 300 general assignment classrooms on campus are host to thousands of scheduled courses and activities taking place daily. These courses and activities bring to life the collaborative culture here on the University of Washington Seattle Campus.

It takes organization, effort, and a keen eye to keep these classrooms in aesthetically appealing and in functional working condition. This position performs work contributing to this goal by using knowledge and experience specific to classroom facilities while exercising independent judgment. Further, this position independently advises students, faculty, staff, and the public regarding the use and maintenance of classrooms.

AT offers a full range of audiovisual and learning space design expertise to the UW community and works with students, faculty, and staff to enhance learning spaces with new technologies aimed at improving student-learning outcomes.

AT supports instruction in roughly 300 general-use classrooms, and its student equipment loan program gives UW Seattle students access to modern multimedia and computing equipment. Its Events Services group offers facilities that accommodate a wide range of events, hosting hundreds each year.

Key Responsibilities

Campus Classroom Coordination (60%)

  • Oversee and address daily incident reports related to facility infrastructure and furniture in general assignment classrooms. Independently communicate with UW Community regarding the status of each report while facilitating remedial action by UW Facility Shop leads.
  • Generate and track facility and furniture maintenance work orders to be performed in general assignment classrooms; initiate generation of quotes by UW Facilities and 3rd party vendors and present recommendations for longer term maintenance projects to be performed. General examples of daily reports are for repairs to furniture, flooring, walls (wood, painted, fabric, acoustic paneling, etc.), ceilings, doors, lighting (fixtures and controls), windows, window coverings, etc.
  • Coordinate Academic Technologies response to immediate classroom hazards and track remediation efforts; independently liaison with the Time Schedule office and Event Services to ensure proper rescheduling of affected courses and activities. Example conditions requiring immediate response include water leaks, smoke damage, hazardous spills, HVAC outages, gas leaks, etc. which may leave the classroom temporarily unoccupiable.
  • Oversee and address general assignment classroom facilities and furniture issues as reported by the UW campus community. Requests are generally received via the AT Help Desk. Exercise independent judgment while leading departmental communication with campus community members raising concerns regarding classroom facilities.
  • Work with the Event Services Coordination team to reserve classrooms as needed for work performed by UW Facilities.
  • Coordinate communication regarding classroom facilities maintenance to other teams within Academic Technologies using a variety of tools including shared calendars, instant communication programs, etc.
  • Lead student classroom furniture and facilities support team if required.
  • Oversee routine maintenance of general assignment classroom furniture and facilities.
  • Maintain general assignment classroom furniture and furnishing standards by tracking maintenance and purchasing records and periodically recommending updates to current standards. Ensure repairs completed by vendors and UW Facilities meet these standards.
  • Assist inventory & asset management staff with campus furniture inventory.
  • Coordinate with Disability Resources for Students on general assignment classroom furniture accommodations including the oversight of accessible furniture distribution and tracking within general assignment classrooms.
  • Coordinate organization of and access to various AT-controlled campus storage rooms on campus.
  • Develop information to support budgetary decision making and requests. Provide recommendations for purchasing of annual classroom furniture replacement and lead discussions with vendors regarding design, project timelines, and procurement. Coordinate the deployment of newly purchased general assignment classroom furniture and the removal and surplus of retired furniture.
