Job DescriptionPEMCO is seeking an Executive Assistant to support our senior leaders, enabling them to focus on organizational priorities and decision making. The role manages complex calendars, coordinates cross‑functional communications, prepares executive‑level materials, and oversees logistics for meetings, projects, and initiatives. The Executive Assistant serves as a trusted partner, anticipating needs, solving problems proactively, and ensuring the leader’s time is aligned to the highest‑value activities.
WhatYou’ll Be Doing
- Provide comprehensive administrative support for assigned executives, including calendaring, inbox triage, document preparation, project coordination, meeting & event planning, travel arrangements, expense reporting, and logistical support.
- Handle high‑volume competing requests from seven executives and ad‑hoc support for twenty senior leaders.
- Coordinate dynamic and complex calendars, scheduling appointments while balancing priorities.
- Exercise discretion in handling requests for time with executives and directors.
- Provide onsite support for monthly, quarterly, and annual events such as Executive Business Reviews, Performance Reviews, Executive Advances, and the Insurance Industry Day.
- Manage travel, including detailed itineraries, accommodations, venues, and contingency planning.
- Negotiate corporate travel and venue rates and procure support materials for corporate events.
- Establish and maintain an organized information system for correspondence and records.
- Conduct research, collect background material, and prepare data for reports and presentations.
- Anticipate needs and manage agendas, timelines, and workflow to prepare the executive team for internal and external meetings.
- Support and coordinate special projects related to department and company goals, civic organizations, committees, fundraising, and social functions.
- Represent executives in internal and external interactions and liaise between leaders, employees, and the community.
- Identify opportunities to improve processes for efficiency and scale, while ensuring confidentiality and discretion.
- Compile spreadsheets and other materials as needed; may supervise a support assistant.
- Demonstrate behaviors consistent with PEMCO’s policies, values, code of ethics, and business conduct.

- 10+ years of experience in an administrative or executive assistant role with increasing responsibility.
- High integrity and discretion in confidential situations.
- Clear verbal and written communication skills in both technical and non‑technical language.
- Calm composure under pressure, resilience, and ability to lead through ambiguity.
- Excellent time‑management and multitasking abilities.
- Cross‑functional organizational savvy, critical thinking, and keen listening skills.
- Proficiency in digital tools and safe online practices, including Microsoft Office (Excel, Word, PowerPoint, Outlook).
- Experience using Smartsheet preferred.
