Exciting Workplace Experience Coordinator opportunity with an established firm.
Our financial services client is looking for a Workplace Experience Coordinator for their offices in Seattle, WA. This position is 100% onsite in downtown Seattle on 8th Ave. The Workplace Experience team creates exceptional in-office experiences that enable employees to do their best work while fostering collaboration, connection, and culture. As the face of the office, you'll help ensure employees and visitors feel welcomed, supported, and set up for success.
In this role, you will own the onsite coordination and execution of large-scale team offsites, technical events, and codeathons hosted in Seattle. You'll manage the operational details that bring these events to life while partnering with Workplace Experience, Executive Assistants, Facilities, IT, Security, and external vendors to deliver seamless experiences.
Contract Duration: 6 months plus
Desired Skills & ExperienceWhat You Will Be Doing
- Coordinate the end-to-end logistics for large-scale team offsites, technical events, and codeathons hosted in the Seattle office.
- Serve as the primary onsite Workplace Experience representative, providing a welcoming, organized, and high-quality experience for employees, visitors, and event attendees.
- Manage event schedules, calendars, invitations, and attendee communications, serving as the primary point of contact for event logistics, meals, office access, and schedule updates.
- Partner with Executive Assistants, Tech leadership, Facilities, IT, Security, and Workplace Experience teammates to ensure successful event execution.
- Coordinate onsite catering operations, including meal scheduling, headcount management, dietary accommodations, vendor communication, and real-time logistical adjustments.
- Coordinate offsite dining experiences, including restaurant reservations, private team dinners, menu planning, and payment arrangements, while supporting catering logistics for events hosted across multiple office locations.
- Reserve conference rooms and event spaces, coordinating room layouts, workspace configurations, technical equipment, office supplies, and building access to ensure event readiness.
- Coordinate with external vendors and internal partners while maintaining event playbooks, logistical documentation, and operational trackers that support recurring events and continuous improvement.
- Support event budget administration by monitoring expenses, maintaining documentation, ensuring accurate cost center coding, and processing receipts and expense reports following each event.
- Manage multiple priorities simultaneously, proactively identify and resolve day-to-day operational issues, and adapt quickly to changing event needs in a fast-paced environment.
- High school diploma or GED required; associate's or bachelor's degree preferred.
- 2+ years of professional experience in workplace operations, office coordination, facilities, hospitality, event planning, or a related field; startup experience is a plus.
- Experience coordinating events or managing multiple operational workflows in a fast-paced environment.
- Strong organizational, communication, and problem-solving skills with exceptional attention to detail.
- Experience using Google Workspace, including Google Sheets, along with expense management, billing, and other office software.
- Ability to work effectively with employees, leadership, vendors, and cross-functional partners while exercising sound judgment and following established processes.
