Seattle Central College is looking to hire an Executive Assistant in the Vice President of Administrative Services office.
Salary Range: $69,828 to $96,430 annually (depending on experience).

Position SummaryReporting to the Vice President of Administrative Services, the Executive Assistant serves as a key liaison across departments and provides confidential administrative and strategic support. The role oversees budget monitoring, supports college-wide financial processes, advises on fiscal planning and improvements, analyzes and enhances financial procedures, leads grant‑seeking efforts, and develops and guides policies and standard operating procedures related to administrative and budget functions.
Responsibilities- Provide direct confidential administrative assistance to the Vice President of Administrative Services in planning, decision‑making, budgeting, purchasing, and office management.
- Support including written correspondences, formats, transcription, meeting minutes, compose and edit reports, exercise signature authority on administrative correspondences, represent and communicate on behalf of the Vice President at meetings.
- Manage meeting schedules and calendars, including room logistics.
- Manage rapidly shifting priorities and complex scheduling.
- Respond to last‑minute meeting changes.
- Serve as an intermediary for the Vice President with institutional and administrative policies, guidelines, and procedures to resolve inquiries and/or issues.
- Lead analysis and assessment of college‑wide processes and procedures, particularly related to fiscal planning and budget development, make recommendations for improvement, and provide recommendations for improved workflow and business operations systems.
- Coordinate and track multiple executive‑level projects, proactively monitor progress to ensure deadlines are met, and prepare and submit documents accurately to appropriate stakeholders.
- Develop metrics and key performance indicators (KPIs), both financial and operational, to measure process effectiveness; monitor and evaluate metrics and KPIs, conduct surveys, perform research, analyze and interpret data to identify areas for improvement.
- Collaborate with the Director of Grants on grant research, development, applications, deadlines, and submissions.
- Exercise judgment to solve unexpected administrative problems consistent with objectives and policies of the college.
- Collaborate with departments and cross‑functional operations to document processes and procedures.
- Research applicable policies, federal, state, and local rules, regulations, and ordinances to ensure compliance with any analyzed process or procedure.
- Prepare, review, process, and assist in the preparation, compilation, and coordination of reports for finance, purchasing, inventory, and personnel records for the Vice President’s Office and Administrative Services units and departments; monitor and maintain budgets and expenditures; evaluate costs for expenditures; facilitate equipment purchases.
- Manage and reconcile department credit card purchases including items purchased for light refreshments.
- Complete all travel related documents for the Vice President’s Office.
- Complete payroll‑related documents and processes, as well as personal services contracts for the Vice President’s Office.
- Prepare complex financial reports, budget forecasts, and documents as requested.
- Prepare and send correspondence on behalf of the Vice President’s Office or Vice President.
- Represent and/or communicate on behalf of the Vice President at meetings and conferences.
- Provide information and instructions and respond to inquiries from the campus community regarding Administrative Services and the College.
- Chair and serve on hiring committees; recommend hires to the Vice President of Administrative Services for classified, part‑time, hourly, temporary, student, and intern employees; advise on personnel matters within the division.
