Job Summary:
We are looking for a Workplace Experience Coordinator (Contract) to join our client's Workplace Experience team in Seattle. This is a fully onsite role supporting our temporary Seattle office. The Workplace Experience team creates exceptional in-office experiences that enable employees to do their best work while fostering collaboration, connection, and culture. As the face of the office, you'll help ensure employees and visitors feel welcomed, supported, and set up for success.
In this role, you will own the onsite coordination and execution of large-scale team offsites, technical events, and codeathons. You will manage the operational details while partnering with Executive Assistants, Facilities, IT, Security, and external vendors to deliver seamless experiences.
- Event Logistics:
Coordinate end-to-end logistics for large-scale team offsites, technical events, and codeathons. - Onsite Representation:
Serve as the primary Workplace Experience representative, providing a welcoming and high-quality experience for all attendees. - Communication Management:
Manage event schedules, calendars, invitations, and serve as the primary point of contact for logistics, meals, and office access. - Cross-Functional Partnership:
Collaborate with Tech leadership, Facilities, IT, and Security to ensure successful event execution. - Catering Coordination:
Manage onsite catering operations, including headcount, dietary accommodations, vendor communication, and real-time adjustments. - External Dining:
Organize offsite dining experiences, including restaurant reservations, private team dinners, and payment arrangements. - Space Readiness:
Reserve and configure conference rooms and event spaces, including technical equipment, office supplies, and building access. - Operational Documentation:
Maintain event playbooks, logistical documentation, and operational trackers to support recurring events. - Budget Administration:
Support budget monitoring by ensuring accurate cost center coding, maintaining documentation, and processing expense reports.
- Education:
High school diploma or GED required; associate's or bachelor's degree preferred. - Experience:
2+ years of professional experience in workplace operations, office coordination, hospitality, or event planning (startup experience is a plus). - Workflow Management:
Proven ability to manage multiple operational workflows and coordinate events in fast-paced settings. - Technical Proficiency:
Strong skills in Google Workspace (especially Google Sheets), expense management, and billing software. - Communication:
Exceptional organizational and communication skills with a high attention to detail. - Customer Service: A proven record of delivering exceptional customer service and fostering a positive team culture.
- Physical Requirements:
Ability to regularly lift and move items weighing 25 pounds or more.
