Executive Assistant to the Managing Partner

Reports to:

Managing Partner / Director of Operations

The Role

The Executive Assistant exists to protect and multiply the Managing Partner’s time, focus, and effectiveness. This is a high-trust, high-accountability position for someone who takes genuine ownership of what lands on the Partner’s plate and makes sure the right things get done, the right way, on time. The result: a Managing Partner who shows up to every commitment prepared, present, and ahead of schedule.

This is not a passive role. It requires initiative, attention to detail, and the judgment to act without being asked. If you take satisfaction in doing things right and in knowing that your work directly enables someone else to do their best work, this role is for you.

What You Will Own Calendar & Communications
  • Manage the Partner’s email inbox: filter, prioritize, respond where appropriate, and surface what needs attention
  • Own the calendar end-to-end: schedule, protect, adjust, and maintain the Partner’s time against stated priorities
  • Prepare the Partner for every meeting: agendas, background materials, and pre-read documents ready in advance
  • Capture notes and next actions from meetings and ensure follow-through is tracked and completed
Marketing & Business Development Support
  • Research and identify potential referral sources on behalf of the Partner
  • Schedule and coordinate referral-source meetings, managing all logistics and follow-up
  • Execute follow-up communications after marketing meetings on time, every time
  • Track and maintain the Partner’s marketing activity statistics and keep records current
Operations & Personal Support
  • Coordinate travel: research options, book arrangements, and prepare detailed itineraries
  • Manage personal scheduling and life-logistics tasks as directed by the Partner
  • Handle ad-hoc projects as they arise, completing them accurately and without repeated follow-up
  • Maintain organized, reliable records across Outlook, Word, Clio, and other firm platforms
What Success Looks Like

Within 90 days, the right person will have demonstrated:

  • Zero preventable scheduling conflicts or missed commitments on the Partner’s calendar
  • A consistent meeting-prep and briefing rhythm that the Partner relies on without asking for it
  • Marketing follow-ups executed on schedule, with accurate tracking of stats and activity
  • The judgment to distinguish what deserves the Partner’s attention from what can be handled independently
  • The trust of the Partner, earned through precision, discretion, and consistent follow-through

  • Diplomatic in all interactions with the Partner, the firm team, clients, and external contacts.
  • You genuinely want to serve and support, and you take pride in doing it at a high level.
  • Strong written communication with professional grammar, tone, and syntax in every message.
  • Organizationally rigorous. You build systems, maintain them, and don’t let things fall through the cracks.
Experience & Technical Requirements
  • Some prior work experience is preferred; what matters most is that you’ve developed professional soft skills.
  • College education preferred; office‑environment experience is a meaningful advantage.
  • Microsoft Outlook and Word are required. You must have used both in a professional setting.
  • Familiarity with Clio or comparable practice management software is a plus.
  • Comfort with client-facing communication and customer service situations.
  • Problem-solving ability. You are resourceful and find answers before escalating.
Reporting Structure

This position reports directly to the Managing Partner. Administrative and operational matters may also involve coordination with the Director of Operations. The chain of authority is clear: the Managing Partner’s priorities define this role’s agenda.
