About The Role
The Executive Assistant serves as the primary operational partner to key engineering and product executives in our Seattle office. This hybrid role manages the complex daily operations, communication flows, and fast-moving schedules of leadership to maximize organizational focus and technical velocity.
The successful candidate will act as a strategic gatekeeper and coordinator, anticipating team needs, resolving scheduling conflicts before they arise, and maintaining seamless operational continuity across cross‑functional engineering, product, and operations teams.
Key Responsibilities- Own and optimize complex calendar management across multiple time zones, resolving scheduling conflicts proactively and protecting executive focus time.
- Coordinate comprehensive domestic and international travel logistics, including flights, accommodations, ground transit, visas, and detailed itineraries.
- Plan, execute, and manage end-to-end logistics for internal events, technical offsites, customer meetings, and large-scale team gatherings.
- Prepare, review, and organize confidential briefings, meeting agendas, and operational reports, documenting key action items and tracking progress to completion.
- Manage operational expense reports, vendor invoices, purchasing workflows, and procurement requests within corporate financial software.
- Facilitate seamless communication between executive leadership, direct reports, and external stakeholders, ensuring timely follow-ups on critical deliverables.
- 4+ years of administrative support or executive assistant experience, ideally supporting technology or engineering leadership.
- Expert‑level proficiency with G Suite (Google Calendar, Docs, Sheets, Slides) and enterprise productivity tools like Slack, Zoom, and Jira.
- Proven track record of managing confidential corporate information with extreme discretion and professional judgment.
- Superb written and verbal communication skills, with an ability to draft polished communications on behalf of executive leadership.
- Exceptional project coordination skills, showing high attention to detail while managing multiple competing tasks in a fast‑paced environment.
- Bonus:
Experience utilizing Concur or Expensify for financial management, or a Bachelor's degree in business administration, communications, or a related field.
