Piano Nobile is an architecture, interiors, and landscape design studio based in Seattle, Washington, specializing in complex residential projects. In addition, Piano Nobile produces home goods and hosts creative workshops in their studio in a historic school building.
Role DescriptionThe Office Manager is a part-time, on‑site role based in Seattle, WA, responsible for ensuring the smooth daily operation of the studio. This role manages office administration, including scheduling, correspondence, record keeping, and maintaining organized digital files and physical assets, including our beautiful materials library. The Office Manager oversees office equipment and supplies, coordinates vendor relationships and service providers, and supports basic bookkeeping and invoicing activities as needed.
Day‑to‑day responsibilities include greeting visitors, responding to phone and email inquiries, and providing customer service support to clients and collaborators. The role also assists the studio leadership with administrative tasks, helps prepare documents and presentations. The Office Manager works closely with the Studio Manager to organize public events and maintain a professional, welcoming, and efficient work environment.
- Strong communication skills, including clear written and verbal communication with clients, team members, and vendors.
- Proficiency in administrative assistance and office administration, including scheduling, documentation, and organizing workflows.
- Comfort working with office equipment and basic systems, such as printers, scanners, office network, etc.
- Customer service skills, with the ability to provide a professional, attentive, and respectful experience to visitors and clients.
- Proficiency with common office software (Microsoft Office or Google Workspace).
- Experience with project management or accounting.
- Strong organizational skills, attention to detail, and the ability to manage multiple tasks and priorities independently.
- Experience in a design, architecture, or creative studio environment is beneficial but not required.
- High school diploma or equivalent required; further education in business administration or a related field is an asset.
