Position Summary
This position provides administrative support to the SVP HCM Transformation, SVP Business Controls, and the Controller’s team. The assistant works independently on day‑to‑day tasks and special projects, coordinating meetings, conferences, travel, managing paid time off records, and ordering supplies. The role requires judgment in handling non‑routine correspondence, assembling confidential information, and interacting with diverse internal and external stakeholders. The assistant must plan, prioritize, and organize a diversified workload and recommend office practice enhancements to promote department efficiency.
EssentialFunctions
- Strategic Program Management Office Support:
Provide support for organizing key Steering Committee meetings, external consulting onboarding, SharePoint access, backup for program inquiries via shared mailboxes, distribution of attestation reports as needed. - Back up executive administrative assistant for the Corporate Controller.
- Schedule and organize meetings, travels, conferences, and department activities.
- Communicate on behalf of the SVP for routine and non‑routine questions, both internal and external.
- Act as liaison with other corporate departments and IPG agencies, exercising judgment in referral of matters to other stakeholders.
- Provide general administrative support, including monitoring departmental time‑off records, maintaining phone lists and organization charts, coordinating invoice requests and check payments, and ordering supplies.
- Vendor purchase order and payment processing support.
- Prepare various Excel spreadsheets, Word processing (including mail merges), and assist with creating PowerPoint presentations.
- Administer data collection activities related to the quarterly financial close process.
- Minimum of 5 years related work experience.
- BA/BS degree a plus.
- Ability to work independently and within a team.
- Advanced knowledge of MS Office; beneficial to have experience with Concur, SAP.
- Excellent oral and written communication skills.
- Strong organizational ability to multitask and prioritize work.
- Knowledge of office administrative procedures and standard equipment.
- High level of interpersonal skills to handle sensitive and confidential situations.
- Excellent attention to detail in preparing materials and executing activities.
- Ability to work in a fast‑paced environment, juggling multiple competing tasks, and to seek supervisory assistance as appropriate.
The salary range for this position is $80,000 to $100,000, depending on factors such as market considerations, budgetary constraints, tenure, standing, and applicant qualifications.
