Workplace Experience Coordinator Job Description
Serve as the first point of contact for all individuals entering the facility, greeting them with a friendly and welcoming demeanor and issuing visitor and parking passes while following security protocols.
Answer incoming telephone calls in a professional manner, creating a memorable first impression and directing inquiries appropriately.
Create presentations and deliver information to groups of various sizes in a clear and professional manner.
Arrange and confirm recreational, dining, and business activities on behalf of requestors, ensuring details are accurate and logistics are coordinated.
Manage janitorial and maintenance work orders as needed, ensuring issues are documented and resolved in a timely manner.
Coordinate and execute workplace services, including mail handling, office supply services, and onboarding support for new team members.
Acknowledge and respond to inquiries or complaints from employees, guests, and co-workers, providing solutions in a professional, customer service-focused manner.
Organize and manage on-site events, including securing event space, coordinating room setup and tear down, and arranging delivery of supplies.
Follow property-specific security and emergency procedures and promptly notify appropriate parties to help ensure the safety of all individuals in the building.
Coordinate with vendors who supply services or goods to the workplace, maintaining clear communication and ensuring service quality.
Explain detailed or complex information within the team and follow specific directions provided by the manager.
Perform clearly defined duties using established methods and detailed task descriptions, relying on existing procedures to solve straightforward problems with limited discretion.
Support office upkeep, including resetting chairs, wiping surfaces, and providing general assistance to maintain a clean and organized environment.
High School Diploma or GED with up to 2 years of job-related experience.
Ability to follow basic work routines and standards in the application of work.
Strong customer service skills with the ability to interact professionally with employees, guests, and vendors.
Administrative support experience, including handling inquiries, coordinating activities, and managing basic office processes.
Effective communication skills to exchange straightforward information in person, by phone, and in writing.
Working knowledge of Microsoft Office products, including Word, Excel, and Outlook.
Ability to use established procedures to solve straightforward problems and complete clearly defined tasks.
Skills & Qualifications
Strong organizational skills with an inquisitive mindset and attention to detail.
Comfort presenting information and speaking to groups of various sizes.
Ability to coordinate events, including logistics, room setup, and supply management.
Experience working in a front-desk, reception, or facilities support role is beneficial.
Capability to manage multiple tasks in a structured environment while maintaining a professional demeanor.
This is an in-person role based in a facility environment with standard office and front-desk operations. The typical work schedule is 7:30 a.m. to 4:30 p.m., including a one-hour lunch break. The coordinator works on-site, interacting frequently with employees, guests, and vendors and using standard office technologies such as computers and Microsoft Office applications. The role involves time at a reception or front-desk area, movement around the facility to support events and office upkeep, and coordination with janitorial and maintenance services.

This is a Contract position based out of Seattle, WA.
Pay and BenefitsThe pay range for this position is $25.00 - $26.00/hr.
