Administrative Support Staff

Under the direct supervision of the Director of Student Life, this position is responsible for providing administrative support to the Student Life office and completing tasks to meet office guidelines and college deadlines. As needed, the Director will occasionally assign or prioritize work. To accomplish the various responsibilities, the position interacts directly, by telephone and e-mail communication with Director, other office staff members, other campus offices, with students and the community.

This position may direct tasks assigned to work study or hourly staff when assigned and as needed.

Essential

Job Duties:

  • Serve as the main point of contact for the Student Life office and assist students, faculty, and staff with information related to programs, services, and internal/external resources.
  • Provide support for the quarterly Welcome Weeks, resource fairs, including coordinating logistical support, e.g., in-person schedule, facilities and equipment, online updates, and facilitating assessment/feedback after the conclusion of each event.
  • Deliver process training to student clubs and student fee-funded programs that are accessing/using student fee funds for purchasing, travel, and fundraising.
  • Provide logistical support for student events including scheduling facilities and space, obtaining audio-visual equipment, and securing other resources.
  • Review flyers, posters, and other materials submitted for on campus distribution to ensure compliance with College rules and procedures.
  • Assist in the organizational and administrative operations of the office, including monitoring and updating budgets related to Student Life and student-fee funded programs and processing of documents and online submissions related to purchasing, travel, and event coordination
  • Collaborate with other campus partners, such as the yehaw Center for Student Empowerment, International Education, Academic Advising, Library, Counseling Center, etc with regard to overlapping work activities.
  • Track, summarize and report on program activities. Coordinate tabling events, and weekly/monthly newsletters.
  • Support annual commencement activities including participation in planning committee and providing logistical support.
  • Assist in coordination/facilitation of student staff and club leader training on unit policies, procedures, and processes.
  • Coordinate programs, services, and activities that support student engagement, persistence, retention, and success.
  • Other duties as assigned of a similar level/nature

Qualifications:

Required

Education & Experience:

  • High school diploma OR equivalent
  • Two (2) years of experience related to student services, working in student activities or similar OR equivalent education/experience.

Knowledge Of:

  • Microsoft Office Access, Excel, Outlook, PowerPoint, and Word programs
  • FERPA, Title IX, and other applicable laws, rules, ordinances, and regulations related to students
  • Student development theory and practice and student advocacy
  • Relevant policies related to student activities, student clubs, and student fee use

Skill In:

  • Fostering a climate of equity and belonging through multicultural awareness and responsiveness
  • Supporting events and project coordination
  • Writing/editing/proofreading clear and concise materials resulting in effective oral and written communication with individuals inside and/or outside of the College
  • Critical thinking, consensus building, and problem-solving skills
  • Gathering information, sorting, drafting, and providing analysis for budgetary and purchasing projects
  • Time management, organization, and ability to meet competing deadlines/priorities, ability to prioritize tasks, work independently, and follow through on all assignments with minimal direction
  • Entering and/or retrieving data accurately in computerized record keeping systems
  • Handling difficult and sensitive situations, using sound independent judgment within College/legal guidelines
  • Establishing/maintaining effective working relationships at all organizational levels
  • Ability to work with a diverse group of students, staff, and the public in a friendly, courteous, and helpful manner

Conditions of Employment:

Physical Work Environment:
The College provides services both online and in-person. This position will perform work in a standard office setting, use standard office equipment and physically attend meetings both on and off campus. This position requires the ability to:

  • Meet the physical demands of sitting for prolonged periods of time at a desk/computer workstation, using repetitive arm, hand, and finger movements.
  • Work in an open office setting with frequent in-person interaction and numerous interruptions, work under pressure, and handle multiple tasks/prioritize competing demands.
  • Read printed materials and a computer screen.
