A small, close-knit law firm in Lakewood, WA is looking for an organized, personable, and detail-driven Temporary In-Person Case Manager to join our team. This is a temporary position, with the possibility of extension based on business needs. In this role, you'll manage personal injury cases through the pre-litigation phase, serve as a trusted point of contact for our clients, and help keep our office running smoothly day to day.

Pay: $22-27 per hour, depending on experience
Case Management
- Monitor and manage case progression through the pre-litigation phase, ensuring all tasks are completed promptly and efficiently.
- Coordinate with clients, medical providers, and insurance companies to gather necessary information.
- Review case details regularly to identify and address any issues or delays.
- Identify cases involving policy limits and flag them for appropriate handling.
- Prepare and send policy limit demand letters within 30 days of receiving all required documentation (medical records, PIP records, etc.).
- Organize and maintain case files, ensuring all records are accurate, complete, and up to date.
- Work closely with attorneys and support staff to coordinate efforts and provide updates on case status.
- Ensure all actions and documentation comply with legal and ethical standards, including confidentiality requirements.
- Serve as the primary point of contact for clients, addressing inquiries and providing case updates throughout the process.
- Conduct weekly check-ins with clients in the Initial Fact Gathering (IFG) phase and monthly check-ins with clients in the Client Treatment phase.
- Monitor pending client cases and ensure follow-ups occur every 30 days or as needed.
- Schedule and document follow-up calls in relevant systems, including Filevine, Outlook, and Case Status.
- Answer phone calls professionally, take detailed call notes, and direct calls/messages appropriately.
- Greet and assist clients and visitors, providing a positive first impression.
- Assist with client intake processes, including gathering information and completing intake documentation.
- Maintain an organized, clean, and welcoming lobby, reception area, and conference rooms.
- Help manage and organize office supplies, files, and shared office spaces.
- Support overall office operations and administrative tasks as needed.
- Prior experience in case management, preferably within a personal injury or legal setting, is strongly preferred.
- Strong organizational and time-management skills, with the ability to juggle multiple cases at once.
- Excellent written and verbal communication skills.
- Comfort working with case management software (experience with Filevine, Outlook, and Case Status is a plus).
- A proactive, client-focused mindset and genuine attention to detail.
- Ability to work independently and as part of a collaborative team in a fast-paced legal environment.
- Available for a temporary, full-time in-person schedule at our Lakewood office, Monday-Friday, 7:00 AM - 4:00 PM.
