Title and Summary

Board Administration Support Overview

The MTS Legal Team is looking for a Board Administration Support to provide flexible administrative support to the Assistant Company Secretary and other members of the MTS Legal Team. The ideal candidate is highly organised and has strong administrative skills, with the ability to effectively handle confidential information. This position plays a pivotal role in ensuring the smooth functioning of board-related activities and contributing to the overall success of the MTS Legal Team and the broader MTS division.

Role

In this position, you will:
  • Support the MTS Assistant Company Secretary in the effective and efficient provision of secretariat services to the MTS division’s boards of directors.
  • Assist in board meeting preparation including production, collation and circulation of board agendas and packs within agreed timescales (including the use of the electronic board portal).
  • Liaise with functional leads responsible for preparing board reports in compliance with deadlines and other governance matters.
  • Assist in the coordination and arrangement of all Board meeting dates and update/maintain the board meeting calendars and schedules.
  • Support on corporate actions, including board and shareholder approval paperwork and KYC/Audit requests.
  • Assist in maintaining records and corporate books for the MTS division’s boards and entities.
  • Provide administrative support to the wider MTS Legal Team and assist with adhoc tasks.
The ideal candidate for this position should have:
  • Proven experience in administrative or board support, preferably working within a corporate governance or legal function.
  • Effective organisational, time management and prioritisation skills.
  • Strong attention to detail with excellent written and verbal communication skills.
  • Proficiency with Microsoft Office applications, and ideally a working knowledge of Diligent Boards (or equivalent board portal software) and hCue (or equivalent entity management software).
  • The ability to communicate effectively and professionally with stakeholders at all levels of the organisation and across a range of jurisdictions.
  • The ability to work independently and collaboratively in a fast-paced environment, including balancing competing priorities, flagging issues and proposing solutions in a time-sensitive manner, and speaking honestly regarding potential challenges.
