Position Description

Seattle University’s Information Technology Services seeks an organized, collaborative, and service-oriented Change Management Coordinator in a project-based role to provide administrative support for the Workday Project. The position will assist project managers and team members with training administration, communications, documentation, task tracking, meetings, and user support. The role is designed for an early-career professional who is comfortable following established processes, managing details, and learning in a dynamic project environment.

The Workday implementation is already underway, and this position will support implementation, stabilization, and future project milestones. This is a project-based role, and employment is contingent upon project needs, which are currently expected to continue through approximately April 30, 2027.

Change Management Administrative Support

Maintain calendars, task lists, deliverable trackers, meeting materials, and shared documentation. Track assigned deadlines, action items, dependencies, and outstanding information; follow up as requested. Prepare agendas, capture meeting notes, organize project information, and document decisions and next steps. Escalate delays, missing information, or coordination needs to the appropriate resource. Support coordination across change management, functional, technical, service desk, and campus teams.

Internal

Training Coordination

Serve as the lead coordinator for internal project-resource training, including Workday Community Product Administrator training. Manage training requests, enroll participants in courses, and communicate participation requirements and costs. Coordinate hybrid logistics for on-campus training sessions and help participants understand how to engage effectively. Monitor the organization’s training credit balance, identify when additional credits may be needed, and maintain accurate records of credit use and purchases.

Use training coordinator dashboards and related tools to track approvals, registrations, completions, and other training activity. Consult with project leaders on training requests, best practices, and efficient use of available credits.

Communications, Documentation, and Project Support

Assist with drafting and distributing routine communications, training notices, updates, and deadline reminders. Support the preparation, review, publication, and maintenance of user guides, knowledge articles, presentations, website content, and…
