Mailroom Coordinator 1
The Mailroom Coordinator 1 manages the full lifecycle of incoming and outgoing mail and courier deliveries, ensuring accurate processing, routing, and documentation. This role maintains electronic logs and files, supports Copy Centers and Flex Desk users, and contributes to site safety through audits of safety equipment and personal protective equipment. The Mailroom Coordinator 1 also assists with reception coverage, supports asset retirement activities, and helps achieve key performance indicators and operational targets while demonstrating integrity, diligence, and professionalism.
Responsibilities- Process, handle, and maintain accurate records for all incoming and outgoing couriers, mail, and other deliveries to ensure proper routing and timely distribution.
- Identify and implement practical solutions to challenges associated with special mail requirements, including bulk mail and other specialized needs.
- Open, sort, and distribute incoming mail and collect outgoing mail in accordance with established procedures and service levels.
- Maintain all mail stops and package rooms, ensuring they remain organized, clearly labeled, and compliant with site standards.
- Research and follow up with internal clients regarding tracking of mail and packages, providing timely updates and resolutions.
- Perform regular mailroom inspections and monitor inventory of mailroom and related supplies to ensure continuous operations.
- Stock Copy Centers daily, ensuring necessary materials and supplies are available and properly organized.
- Conduct daily checks of Flex Desks and provide user support as needed, addressing issues promptly and professionally.
- Perform audits of safety equipment and personal protective equipment, documenting findings and escalating issues as appropriate.
- Assist at reception when needed, including greeting visitors, answering inquiries, and supporting front-of-house operations.
- Provide support for asset retirement activities, including coordinating the movement and disposition of equipment or materials as directed.

- Serve as an ambassador for the organization by consistently demonstrating cultural and ethical standards in all interactions.
- Proactively develop and maintain strong client relationships and deliver exceptional service, as reflected by client feedback and satisfaction.
- Comply with all requirements of the client contract and consistently meet or exceed key performance indicators.
- Support the day-to-day delivery of on-site mail services in accordance with all agreed policies, procedures, and service standards.
- Identify and drive efficiencies in processes and costs, and make recommendations to management regarding opportunities for improved operational standards.
- Perform any other activities required to support site operations and ensure smooth, reliable mailroom and support services.
- Demonstrated mailroom experience, including opening, sorting, distributing, and collecting mail and packages.
- Proficiency in data entry and maintaining accurate electronic logs and records related to mail and courier processing.
- Strong clerical skills, including organization, documentation, and attention to detail.
- Ability to handle and route courier deliveries and bulk mail accurately and efficiently.
- Capability to perform inventory checks and inspections in mailrooms, Copy Centers, and related support areas.
- Effective communication skills for researching, tracking, and following up on mail and package inquiries with internal clients.
- Customer service orientation with the ability to provide exceptional service and maintain positive client relationships.
- Ability to work collaboratively in a team environment and support a culture of cooperation and performance excellence.
- Commitment to working with integrity, diligence, and professionalism in all aspects of the role.
Skills & Qualifications
- Experience supporting Copy Centers, including stocking and monitoring supplies.
- Experience supporting flexible desk environments, including daily checks and user assistance.
- Familiarity with auditing safety equipment and personal protective equipment.
- Experience assisting at reception or in a front-of-house support role.
