Position: Grant Manager (hybrid, Seattle)

Description

The Grant Manager role ensures all grant lifecycle activities are coordinated, on track, and clearly communicated—from award through closeout—while program teams and program administrators remain responsible for service delivery and performance. The person in this role uses their expert project management skills and broad understanding of Mary’s Place programs, goals and processes to schedule, track, and drive the fulfillment of all grant‑related deliverables and provide expertise in the interpretation of and adherence to funder requirements and administrative guidelines.

The Grant Manager actively engages in Mary’s Place racial equity work – striving for equitable outcomes and taking responsibility for creating, maintaining, and affirming communities for people of color, immigrants, and refugees, trans and gender‑non‑conforming people, and other populations who routinely encounter systemic oppress ions.

This is a full‑time, exempt, hybrid position that reports to the Associate Director of Grants and does not supervise other staff. It is based in Seattle, WA. The salary range for this position is $75,000–$85,000 per year, DOE.

Key Responsibilities

Grant Lifecycle Project Management

  • Serve as the internal project manager for assigned grants, coordinating timelines, deliverables, reporting milestones, and amendments across departments.
  • Coordinate organizational review of new funding opportunities and lead the subsequent submission process for new grant applications, including meeting with key internal stakeholders (Programs, Finance, Data) to ensure accurate narrative, proposal development, timely data, and reasonable impact metrics are included in the final application.
  • Lead post‑award kickoff meetings to re‑align Program, Finance, and Data teams on grant scope, reporting schedules, budgets, resources needed, and roles/responsibilities.
  • Maintain team grant calendars, task trackers, and documentation to support visibility and accountability across stakeholders.

Cross-Functional Coordination

  • Act as the central point of coordination between Programs, Finance, and Data teams to ensure required inputs for reports and invoices are received on time.
  • Support communication with internal teams to ensure understanding funder expectations without owning programmatic compliance or service delivery.
  • Flag risks, delays, or changes early (whether from the funder or the internal team) and facilitate solutions with the appropriate teams.

Funder Communication & Reporting

  • Ensure that contracts are fulfilled appropriately and that all grant partners are appropriately recognized and stewarded.
  • Lead narrative report writing and editing, in partnership with Programs.
  • Coordinate, compile, and submit funder‑required reports, documentation, and invoices using information provided by Programs and Finance staff.
  • Serve as the primary administrative liaison with government funders for reporting schedules, amendments, monitoring/audits, and closeout processes.
  • Manage contract amendments, extensions, and closeout documentation in collaboration with the Associate Director of Grants and finance team.

Systems & Process Improvement

  • Maintain accurate grant records and tracking systems for assigned funding portfolios.
  • Collaborate with the Associate Director of Grants to identify opportunities to streamline grant management workflows, templates, and tools.

Requirements

Qualifications & Skills

  • 3–5+ years of experience in government grants management, contract management, or related nonprofit roles.
  • Demonstrated strength in project management
    , including managing multiple timelines, stakeholders, and deliverables.
  • Strong grant writing experience preferred.
  • Experience in coordinating grant reporting, invoicing, and closeout processes.
  • Strong written and verbal communication skills, with the ability to translate requirements into clear internal action steps.
  • High attention to detail, strong organizational skills, and comfort working across departments.
  • Proficiency with grant tracking systems, project management tools, contract/grant portal systems, and Microsoft Office (especially Excel).
