Coordinator, Business Project Management (Convenings)
The Foundation seeks a Coordinator within the GE Division’s Office of the President to support convening event coordination, visa documentation, and related business operations. This limited‑term position (tentative end 31 December 2027) is based in Seattle and requires up to 20‑25% travel.
Key Responsibilities- Convening Support
- Provide project management, planning, coordination, and preparation for multiple convenings/events.
- Coordinate all logistical steps from start to finish, partnering with investment owners and cross‑functional teams.
- Serve as point of contact for internal and external collaboration and resolution.
- Support continuous improvement to deliver creative, inclusive, impactful experiences.
- Engage with events, travel, and expenses teams to ensure events deliver business value and quality aligned to programmatic goals.
- Visa Support
- Manage partnership with the Foundation’s Travel and Visa team.
- Research country‑specific visa requirements, prepare checklists, and draft visa documents.
- Acquire signatures for a subset of principals across seven teams.
- General Triage & Prioritization
- Prioritize tasks to meet deadlines for convening and visa responsibilities.
- Work flexibly, efficiently, and diplomatically, individually and as part of a team.
- Address issues constructively and maintain composure under ambiguity and tight deadlines.
- Other Responsibilities
- Assist in delivering service metrics, capacity trends, and workload analysis.
- Execute additional duties as assigned by the Division.
- Deliverables (First 6 months)
- Create and maintain guidance materials, SOPs, FAQs, and resources on convening and visa processes.
- Develop stakeholder engagement plan and partnership touchpoints.
- Document support requests, track projects, and report metrics.
- Analyze workload and recommend resource planning.
- Demonstrated experience in project coordination, business operations, event management, or executive administration in a fast‑paced environment.
- Strong initiative, organizational skills, and ability to work autonomously and cross‑functionally.
- Broad knowledge of basic project management practices.
- Conflict resolution, on‑the‑fly solutioning, and critical thinking.
- Data synthesis, priority setting, and deadline management across multiple projects.
- AV troubleshooting ability.
- Excellent attention to detail and proactive logistical planning.
- Continuous process improvement emphasis.
- Matrixed environment relationship building.
- Experience planning international events and managing cultural/local customs.
- Excellent oral and written communication; adjusts to diverse working styles.
- Must have unrestricted work authorization in the U.S.; no immigration sponsorship.
- Salary: $36.68 – $51.39 USD per hour.
