Position Summary

The Business Manager is a trusted operational leader within the parish, responsible for stewarding resources, strengthening systems, and enabling ministry through effective administration and collaboration. This role partners closely with parish leadership, staff, volunteers, and Archdiocesan partners to ensure smooth daily operations, regulatory compliance, and strong infrastructure in support of the parish’s mission. The ideal candidate brings both strategic thinking and hands‑on execution, values teamwork, and is energized by improving systems that support people, ministry, and community life.

Key Responsibilities
  • Parish Operations & Systems Leadership
    • Design, maintain, and continuously improve operational systems and procedures that support parish life, including online forms, policies, workflows, and ministry volunteer processes.
    • Serve as a central point of coordination to ensure front office and administrative operations function smoothly.
    • Partner with parish leadership to prepare and submit required parish reports to the Archdiocese, including annual reports and census data.
    • Ensure parish records, documents, and sensitive information are securely maintained, archived, and protected in accordance with Archdiocesan and legal standards.
  • Financial & Resource Stewardship
    • Maintain working knowledge of parish and parish‑family budgets to support fiscal responsibility, budget development, and expenditure tracking.
    • Oversee procurement and inventory systems, including ordering supplies, coordinating deliveries, and organizing invoices and credit‑card documentation for the accountant.
    • Monitor and support appropriate financial controls for cash handling, donor data entry, and reporting.
    • Collaborate with the Communications and Development Manager on stewardship efforts, rebates, and campaign‑related projects.
  • Data, Technology & Infrastructure
    • Provide oversight of parish data management systems, including Parish Staq and related stewardship and campaign tools.
    • Oversee parish technology resources, including IT systems, cybersecurity practices, live streaming capabilities, phone systems, copiers, and related vendor relationships.
  • Vendor, Contract & Facility Coordination
    • Manage vendor relationships and contracts, working jointly with the Facility Manager(s), particularly regarding facilities and use agreements.
    • Partner with parish school staff to align operational needs across shared spaces and services.
  • Staff & Volunteer Engagement
    • Recruit, train, schedule, and support a volunteer receptionist team, fostering a welcoming and well‑organized front‑office presence.
    • Ensure compliance with the Archdiocesan Safe Environment Program for all staff and volunteers, including background checks and confidentiality agreements.
  • Ministry & Liturgy Support
    • Provide operational support to parish ministries by improving systems, communication, and logistics that enable their work.
Qualifications
  • Required
    • Alignment with and support for the mission, values, and teachings of the Catholic Church and the Archdiocese of Seattle.
    • Bachelor’s degree in business administration, accounting, nonprofit management, or a related field, or equivalent professional experience.
    • Demonstrated experience in operations, administration, or business management.
    • Strong organizational and problem‑solving skills with the ability to balance strategic priorities and daily responsibilities.
    • Experience working with data systems, financial processes, and office technology.
    • Ability to communicate clearly and work collaboratively with diverse stakeholders, including staff, clergy, volunteers, and vendors.
  • Preferred
    • Experience in a parish, school, nonprofit, or mission‑driven organization.
    • Familiarity with Parish Staq or similar donor/parish management systems.
    • Experience supporting or managing volunteers.
    • Comfort with technology systems, live streaming tools, or cybersecurity best practices.
Work Environment & Expectations
  • This role is primarily onsite and includes occasional evening or weekend responsibilities tied to parish operations or events.
  • Successful completion of Safe Environment training and background screening is required.
  • A high level of professionalism, discretion, and confidentiality is essential.
