Job Description The Office of Student Academic Success and First Year Pre-Major Program (OSAS/FYPP) has an outstanding opportunity for a Manager of Administration & Operations to join their team.

About this Opportunity:

Reporting to the Associate Vice Chancellor & Dean for Student Academic Success, the Manager of Administration & Operations is responsible for providing strategic alignment across the OSAS/FYPP portfolio, supporting the daily experience and moving the unit towards long term goals and outcomes. This role provides scale and operational clarity for the leadership team (LT) and the Associate Vice Chancellor & Dean (AVC).

This role is the liaison for OSAS/FYPP to various offices on campus and within the tri-campus for all administrative and budget matters.

Key Responsibilities:

Operations & Administration (40%)Provide leadership and oversight for day-to-day administrative and operational functions supporting OSAS/FYPP. Independently manage a broad range of operational activities and serve as a key advisor to unit leadership regarding administrative and organizational matters.

Lead implementation of strategic priorities established by the AVC and leadership team and coordinate operational activities necessary to achieve unit goals.

Develop, implement, and evaluate administrative processes, workflows, and operational procedures that improve efficiency, effectiveness, and service delivery.

Analyze operational needs, identify challenges, and develop recommendations and solutions that support organizational effectiveness.

Interpret and apply university policies, procedures, and guidelines related to administrative operations and provide guidance to staff and leadership regarding implementation and compliance.

Serve as the primary administrative liaison between OSAS/FYPP and campus partners including Academic Affairs, Finance, Human Resources, Procurement, Facilities, Information Technology, and Advancement.

Coordinate planning and execution of leadership meetings, retreats, the annual UW Bothell Data Summit, and other administrative initiatives.

Manage administrative aspects of recruitment, hiring, onboarding, and organizational changes in collaboration with Human Resources.

Maintain systems and processes supporting records management, internal communications, documentation, and compliance requirements.

Coordinate administrative and operational support for unit events, programs, and initiatives.

Provide direct administrative support to the AVC including management of sensitive communications, coordination of high-priority initiatives, and resolution of operational issues.

Program Operations & Project Management (30%)Provide leadership for operational and strategic initiatives that advance student success and support organizational priorities. Projects frequently involve coordination across multiple departments, schools and stakeholders on campus and tri-campus strategic initiatives.

Lead planning, coordination, implementation, and assessment of programs, projects, and strategic initiatives for OSAS.Develop project plans, timelines, deliverables, performance measures, and communication strategies to ensure successful execution.

Monitor project progress, identify risks and barriers, and implement solutions to support project success.

Translate organizational goals into actionable work plans, timelines, and measurable outcomes.

Conduct research, data analysis, and assessment activities to inform decisions, evaluate effectiveness, and support continuous improvement.

Coordinate work across Academic Affairs and campus partners to ensure timely completion of project objectives and alignment with institutional priorities.

Develop reports, dashboards, and presentations that communicate project outcomes and organizational performance.

Facilitate collaboration among stakeholders and serve as a resource on operational and programmatic initiatives.

Budget & Fiscal Management (20%)Administer and monitor financial resources supporting OSAS/FYPP operations and strategic priorities. Provide fiscal analysis, forecasting, and budget management in support of informed decision-making and responsible stewardship of university resources.

Independently administer the annual operating budget for OSAS/FYPP and support long-range financial planning activities.

Develop financial projections, monitor expenditures, analyze trends, and identify budget risks and opportunities.
