7) to join their team.
Reporting to the HMC Administrator of Program Operations, the Program Operations Specialist is responsible for providing operational, educational, and programmatic support to the Neurocritical Care Service (NCCS), a highly specialized multidisciplinary perioperative critical care program led by the Department of Anesthesiology & Pain Medicine at UW Medicine. Under the direction of the NCCS Medical Director, the program advances UW Medicine's mission of clinical care, education, and research through activities based at Harborview Medical Center
This position is based at Harborview Medical Center in Seattle, Washington
Telework eligibility:
Hybrid. This position is expected to work onsite at Harborview Medical Center two (2) days per week and telework three (3) days per week. Schedule may be adjusted based on operational and programmatic needs.
- NCCS Operational Program Administration & Workforce Coordination – 50% Lead operational and workforce coordination activities for NCCS, including staffing, scheduling, trainee deployment, and program support.
- NCCS Educational Program Administration & Trainee Operations – 35% Manage and coordinate NCCS educational and trainee programs, including onboarding, scheduling, compliance, educational activities, and partnerships with affiliated institutions to support program operations and trainee success.
- Program Development, Administrative Operations, & Strategic Initiative s – 10% Lead and support program development, administrative operations, and strategic initiatives, including process improvement, policy development, operational analysis, project coordination, and implementation of program priorities that advance NCCS goals and organizational effectiveness.
- Cross-Functional Operational Support & Program Continuit y – 5% Provide cross-functional operational support to ensure program continuity, foster collaboration with internal and external partners, coordinate responses to operational needs, and support departmental and programmatic priorities.
Minimum Qualifications
- BA in Healthcare Administration, Business Administration, Public Health, Education, Health Services, or a related field.
- Minimum of two years of progressively responsible experience in program operations, healthcare operations, academic medicine, higher education, or administrative program management, including experience coordinating complex operational workflows and working across multidisciplinary teams; or an equivalent combination of education and experience
- Advanced proficiency with Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint.
- Demonstrated ability to prioritize competing responsibilities, manage multiple projects simultaneously, and effectively adapt to changing priorities in a fast-paced environment.
- Strong analytical, critical-thinking, and problem-solving skills, with the ability to interpret information, develop recommendations, and support operational decision-making.
- Demonstrated ability to work independently, exercise sound judgment, take initiative, and manage responsibilities with minimal supervision.
- Excellent verbal, written, and interpersonal communication skills, including the ability to effectively communicate with multidisciplinary stakeholders.
- Demonstrated ability to develop, implement, and improve operational processes, workflows, and programmatic initiatives.
