Work HoursThis role will work an average of 29 hours per week. Qualified candidates must be able to work a flexible schedule; work hours can include early mornings and/or late evenings.

- Manage intake of event requests, including gathering requirements from stakeholders, booking events in Momentus, creating venue maps and production forms.
- Create and maintain detailed event timelines, track event status, and perform a variety of detail‑oriented tasks to ensure event preparedness, including participating in meetings with zoo teams supporting events.
- Coordinate event logistics, including catering, audio‑visual, and programming.
- Oversee elements of event setup, day‑of execution, and teardown.
- Meet event deadlines, projects, and targets to keep to an event schedule.
- Participate in problem solving event‑related issues and analyze post‑event performance.
- Perform general office duties, including support for email communications.
- Contribute creative ideas to enhance the event experience, including themes, décor, and entertainment options.
- Leverage technology to streamline processes, manage communications, and enhance overall efficiency.
- Provide high quality customer service to guests and internal stakeholders.
- Interact with staff, volunteers, sponsors, and vendors in a professional and ethical manner.
- Perform general office duties such as composing correspondence; maintain event software, files, database entry, meeting minutes, and reminders.
- Other duties as assigned.
- Ability to speak a language in addition to English.
- Working knowledge of Momentus event management platform is a plus.
- Minimum three (3) years of experience in event planning; experience with outdoor festivals and events is a plus.
- Ability to work a flexible schedule on‑site at Woodland Park Zoo, which may include weekends, evenings, and holidays.
- Bachelor’s degree in a relevant field (communications, marketing, nonprofit management, hospitality, etc.) preferred, or equivalent combination of education and experience.
- Proficiency in Microsoft Office suite and Microsoft Teams required.
- Proficiency with event management software and tools.
- Ability to understand, explain, and enforce policies to on‑site staff, other zoo departments, and the general public in a clear and confident manner.
