Position Overview /Key Responsibilities General Counseling Support- Schedule and coordinate appointments and meetings with counselors.
- Attend Counseling Department meetings and take minutes.
- Manage and update the Counseling Department's master calendar, ensuring key events, deadlines, and appointments are accurately scheduled. Track and coordinate essential tasks and timelines to support the department's programs and initiatives.
- Provide clerical support: process mail, distribute notices, file documents, and assist with general correspondence.
- Assist with communication to students and families through email, website updates, school announcements, and publications.
- Maintain and update Counseling Center's webpage and bulletin boards with current information and resources.
- Run academic and student reports from Veracross for counselors.
- Help organize academic awards, honors, and recognition events.
- Assist with collecting and compiling data for department surveys and reports.
- Maintain and update the Counseling Center's resource list.
- Assist with the student course forecasting process, including gathering and organizing student requests, inputting data, and coordinating communication.
- Assist with coordinating Community Period scheduling and programming support.
- Assist in the planning and coordination of counseling events.
- Act as the first point of contact for the School Counseling Center, greeting and assisting students, parents, and visitors, and providing direction as needed. Ensure the shared common space is welcoming, organized, and well-maintained.
- Assist with processing incoming 9th grade and transfer student records and cumulative files.
- Serve as a point of contact for students, parents, and visitors, providing guidance and directing them to the College Counseling Center as needed. Ensure the shared common space is welcoming, organized, and well-maintained.
- Coordinate and schedule college admission representative visits; occasionally attend meetings between reps and students.
- Manage all aspects of Maia Learning, including onboarding students and families, updating student records, sending school materials to colleges, maintaining scholarship lists, and organizing information on summer opportunities.
- Process college transcript requests in a timely and confidential manner.
- Assist with the college application process as needed.
- Maintain files and records related to college counseling, financial aid, test prep options, and scholarships.
- Assist in organizing and distributing college-related communications, including email, announcements, and school publications.
- Collect and record senior scholarship offers for seniors; provide reports for the graduation program.
- Support the Vice Principal of Academics with project-based tasks.
- Support the student course forecasting process by gathering and organizing student requests, inputting data, and coordinating related communications.
- Assist with coordinating Community Period scheduling and programming support.
- Help manage communication efforts to students and families, including emails, website updates, school announcements, and departmental publications.
- Maintain and archive graduated student records.
- Manage transcript requests for current students and alumni.
- Prepare and mail senior diplomas, transcripts, and graduation awards.
- Other duties as assigned.
The typical work schedule for this role is mid August through mid June following the school calendar. The incoming person will start this new role as soon as a candidate is identified and will continue work through the remainder of the school year and then resuming again in mid August.
Compensation$27.10/hr - $33.12/hr
