Advisor And Outreach Coordinator

The Office of Undergraduate Research has an outstanding opportunity for an Advisor and Outreach Coordinator to join their team. Applications will be reviewed beginning June 30th, 2026.

About This Opportunity

Reporting to the Associate Director, the Advisor and Outreach Coordinator is responsible for advising undergraduates throughout the research lifecycle, including helping students discover opportunities, communicate with mentors, plan to present their research and reflect on future research-related goals. They will support the coordination and planning of outreach activities and the Summer Undergraduate Research Poster Session and will play a key role in facilitating the Undergraduate Research Symposium, a large campus-wide event with almost two thousand undergraduate presenters.

The Advisor and Outreach Coordinator will also assist with general office administration, including scheduling meetings, email management, and procurement.

Key Responsibilities

Advising (40%):

  • Advises undergraduate students 1:1 throughout the research lifecycle, e.g., supports them in discovering opportunities; communicating with mentors; disseminating research; and applying research to academic, professional, and personal goals.
  • Advises students on all aspects of the research lifecycle in a group setting during regular information sessions, Research Café events and other workshops or outreach events (e.g. Dawg Daze, class visits, workshops, panels, group advising etc.).
  • Advises and supports students as they navigate the Undergraduate Research Symposium, including hosting info sessions for students about the Symposium and providing support to students as they apply, plan to present, and navigate the Symposium day.

Event Planning (25%):

1. Coordinates and facilitates, in collaboration with team members, all outreach events, including Dawg Daze and class and program visit (e.g. event submission, confirming dates, recruiting panelists, etc.)

2. Assists in planning and facilitation of the Undergraduate Research Symposium:

  • Facilitates information sessions; student application support workshops; and sessions on various topics, including abstract writing, poster design and communication.
  • Manages Visual Arts & Design and Performing Arts showcases.
  • Supports application management, student confirmation, and student communications.
  • Leads printing projects, including the Symposium poster, program, signs and name tags.
  • Other projects as assigned.

3. Coordinates and facilitates, in collaboration with team members, the Summer Undergraduate Research Summer Poster Session:

  • Manages poster session assignments.
  • Facilitates communication between research program staff.
  • Facilitates the student fee fund transfer from participating programs to the Office of Undergraduate Research budget.
  • Manages day-of planning, preparation, and follow through.
  • Produces general marketing and communication materials in collaboration with Creative Communications.

Administrative responsibilities (20%):

  • Participates in review committees for the Office of Undergraduate Research offerings, including the Washington Research Foundation Fellowship, the Levinson Emerging Scholars program, the Undergraduate Research Symposium and the Undergraduate Research Collective.
  • Assists with general office administration, including scheduling meetings, file organization, website updates, and process streamlining.
  • Manages the shared email account and responds to emails in a timely manner.
  • Procurement:
    Works directly with vendors to secure necessary items for our day-to-day work; uses UW Pro Card to support procurement for day-to-day operations, programs, and events; reconciles purchases weekly, maintain up-to-date records of spending and required documentation in budget files.
  • Conducts program and event analysis through regular assessment and analysis of programming, creating summaries of impact and recommendations for future offerings.

Outreach (10%):

  • Leads outreach requests for Office of Undergraduate Research workshops, panels and other events.
  • Leads the approval of mentors' posts & manages requests for the Undergraduate Research Opportunities Database.
  • Supports with social media as it relates to office outreach efforts.

Professional Development & Committee Work (5%):

  • Contributes to the functioning of the Center for Experiential Learning and Diversity (EXPD) and Undergraduate Academic Affairs (UAA) through active collaboration with colleagues and participation in events, committees, etc., as needed.
