VP, Finance Operations (Player-Coach | CFO Track)

Practice by Numbers is hiring a VP, Finance Operations to own the finance function end-to-end for a profitable, sales‑led SMB SaaS business (~$1M/month revenue, Stripe, mostly monthly billing). This is a hands‑on, player‑coach leadership role designed for someone who has operated under a high‑caliber CFO and is now ready to run finance independently—building the finance operating system, tightening reporting, improving predictability, and leading multi‑state tax setup with external experts.

Location:

Remote / Hybrid.

Reports to:

CEO. Direct reports (initially): [Senior Accountant/Controller (as hired), Outsourced partners]. Works closely with:
Director of Sales, Rev Ops, Customer Success, People Ops, External CPA/SALT firm.

Profile Fit

We are specifically looking for a player‑coach with the maturity to lead finance without a CFO above them, and the humility to be hands‑on. You should have:

  • Worked directly under a CFO (or Head of Finance) in a SaaS business and learned the “why” behind decisions—not just the mechanics
  • A track record of owning outcomes across finance ops + FP&A (close, reporting, forecasting, cash discipline)
  • Comfort partnering with Sales/Rev Ops/CS and setting guardrails (discounting, commissions, pipeline‑based forecasting)
  • The ability to build the team and systems over time (starting lean)

This is not a role for:

  • A senior manager who has only owned a narrow slice of finance (e.g., AP/AR only, GL only, or FP&A only) and is “stretching” into leadership for the first time
  • Someone who needs day‑to‑day CFO direction to prioritize, frame tradeoffs, or communicate business impact
  • A purely strategic finance leader who won’t execute
What Success Looks Like (First 90–180 Days)
  • CEO fully out of bookkeeping; predictable monthly close and clean financial statements
  • A trusted KPI pack and definitions (MRR/ARR bridge, churn, margin, cash, sales efficiency)
  • Driver‑based forecast tied to pipeline, churn, and headcount (updated monthly; used weekly)
  • Discounting and deal approval guardrails implemented; commissions accurate and auditable
  • Stripe reconciliations tight; improved payment recovery + reduced leakage
  • Multi‑state tax plan implemented (nexus assessment, registrations, filing calendar) with external SALT/CPA firm
  • A clear finance operating cadence (weekly cash + pipeline, monthly pack, quarterly planning)
Responsibilities

1) Finance Operations & Accounting Leadership (Player‑Coach)

  • Own the monthly close process and elevate speed/accuracy over time
  • Ensure accurate revenue reporting from Stripe (reconciliation, refunds/credits, subscription reporting, basic rev rec hygiene)
  • Build practical internal controls (approvals, spend policies, vendor management)
  • Own AP/AR, collections cadence, and working capital management
  • Hire/manage outsourced partners and/or a Controller/Senior Accountant as needed

2) FP&A, Forecasting & Decision Support (CFO Outcomes)

  • Build and run a driver‑based model: bookings → MRR/ARR → revenue → cash
  • Own budgeting and reforecasting; tie hiring/spend to ROI and cash impact
  • Produce a monthly KPI pack for leadership; translate insights into decisions
  • Create scenario plans (e.g., hiring pace, pricing changes, churn changes)

3) GTM Finance:
Sales, Pricing, Discounting & Commissions

  • Partner with Sales/Rev Ops to improve forecast accuracy and pipeline discipline
  • Implement discount policies, deal approval workflows, and margin protection rules
  • Maintain and improve commission plans and calculations; ensure clarity and auditability
  • Identify pricing/packaging opportunities (including shifting customers to annual prepay)
  • Track AE productivity and unit economics; recommend adjustments
  • 4) Cash, Collections & Revenue Leakage Reduction

    • Own weekly cash visibility and collections priorities
    • Reduce involuntary churn through payment failure analysis, dunning strategy, and operational improvements
    • Improve DSO and collections processes; build consistent follow‑up + escalation paths

    5) Multi‑State Tax Setup & Compliance

    • Lead multi‑state tax strategy with external SALT/CPA partners:
    • Nexus assessment (sales tax + state income/franchise, as applicable)
