Senior Collections Specialist (Los Angeles, Orange County, San Francisco, Sacramento, Seattle, Austin, Phoenix, Washington, DC)
We are seeking an experienced Senior Collections Specialist to play a central and highly visible role in managing the Firm’s accounts receivable and supporting the Firm’s financial performance and client relationships. This role is designed for a seasoned legal collections professional who can take immediate ownership of assigned accounts, operate with a high degree of independence and exercise sound judgment in advancing collections matters through resolution.
The Senior Collections Specialist serves as a primary collections resource for attorneys and Finance leadership, leading collection strategy, attorney and client outreach and escalation efforts as appropriate. This position requires confidence, discretion and the ability to partner effectively with attorneys and firm leadership to drive timely decision ‑ making while maintaining appropriate client relationships.
Reporting to the Financial Operations Director, the Senior Collections Specialist works closely with Billing, Cash Receipts, Business Analytics, Practice Management and Finance leadership across the Firm. This role requires demonstrated experience managing complex receivables and the ability to independently drive matters to resolution.
The hourly range for the position of Senior Collections Specialist at Nossaman is approximately $58.98 to $64.11 an hour. The annual compensation for this position is reasonably expected to be set between $115,000 and $125,000, depending on qualifications, experience and other relevant factors.
Key Responsibilities- Own assigned accounts receivable portfolios end ‑ to ‑ end, independently managing collections strategy, outreach, follow ‑ up and resolution for complex and aged balances
- Lead direct client outreach and collections discussions, including resolution of disputed or delayed invoices
- Prepare, analyze and present accounts receivable aging and related financial information, providing clear and actionable guidance to attorneys, Finance leadership and Firm management
- Exercise judgment in recommending and executing escalation strategies, including placement with outside collections agencies, in coordination with the General Counsel, CFO and Firm leadership
- Collaborate with Billing and practice support teams to resolve billing discrepancies, short payments and e ‑ billing reductions and to address recurring issues impacting collections
- Identify systemic trends affecting collections performance and propose process improvements to enhance collections effectiveness
- Maintain clear and strategic collections documentation in Aderant Expert and Bill Blast to support transparency, continuity and reporting
- Respond to attorney inquiries with well ‑ considered analysis and context and contribute to month ‑ end, year ‑ end, audit activities and Firmwide finance initiatives or special projects
- Bachelor’s degree required; business, accounting, or finance preferred
- 8+ years of progressive collections, accounts receivable, billing, or finance experience within a law firm or professional services environment
- Proven experience working directly with attorneys to drive collections decisions and lead client conversations regarding payment
- Experience with Aderant Expert and Bill Blast strongly preferred
- Strong Excel skills strongly preferred
- Excellent written and verbal communication skills, with the ability to interact professionally with attorneys, clients and internal stakeholders
- Must be proactive with strong organizational skills, attention to detail and follow‑through
- Demonstrated critical thinking and problem solving ability with a proactive, solutions‑oriented approach
- Ability to manage competing priorities, meet deadlines and exercise sound judgment
