Position: Program Operations Specialist (Temporary)

Overview

The Department of Psychiatry and Behavioral Sciences within the UW School of Medicine is the third largest clinical department with 330 full-time faculty, 460 courtesy faculty, and over 350 staff. It provides clinical services across 5 hospitals, 14 primary care locations, several outpatient sites, and telepsychiatry to more than 150 clinics in Washington and beyond. It is the only academic psychiatry department serving the five-state WWAMI region (Washington, Wyoming, Alaska, Montana, Idaho) and has a robust research portfolio totaling $67 million annually.

The department is recognized for leading in Collaborative Care and other areas such as Addictions, Autism, High Risk Youth, Neurosciences, and Trauma, and is developing programs in Technology and Mental Health, Global Mental Health, Maternal and Child Mental Health, and Targeted Intervention Development. The department’s overall annual operations funding exceeds $130 million.

The Department of Psychiatry & Behavioral Sciences within the UW School of Medicine currently has an outstanding opportunity for a Temporary Program Operations Specialist. Seven Directions at the University of Washington focuses on Indigenous health and wellness and partners with CDC, Safe States, and NNPHI to build capacity for overdose and injury prevention among Indigenous populations. The Temporary Program Operations Specialist is a key member of the Seven Directions team, working under the Project Lead to implement project and research activities, including community engagement, grants and program development, administration, reporting, and subawards with tribal partners.

Responsibilities

Research and Project Management (40%)

  • Plan integration of community engagement principles and cultural relevance into overdose prevention, Indigenous evaluation, mentoring, workforce capacity development, urban Indian pilot sites, communications strategies, convenings, technical assistance products, and delivery.
  • Ensure convenings are designed, executed, and evaluated with culturally centered approaches, centering Indigenous knowledge and cultural teachings.
  • Identify culturally congruent supports and cultural protocols for convenings and gatherings.
  • Plan gifts and create speaker rosters for welcomes, prayers, and closings.
  • Lead communication with tribal and urban Indian project sites to maintain cultural norms and community expectations.
  • Support and facilitate in-person or virtual convenings, listening sessions, conferences, workshops, webinars, etc.
  • Provide direct technical assistance via consultative meetings to tribal public health partners; support research projects as required, including planning, training, and tool development.
  • Coordinate and manage contracts, subawards, and IRB submissions, monitoring and renewal with UW PBSCI, ABC, OSP, IRB, and partners.

Administration and Operations (35%)

  • Develop and track timelines and work plans for culturally congruent supports in ASANA with project leads.
  • Submit invoices, honoraria, and requests for supplies through UW PBSCI finance.
  • Track and monitor subawards and contracts; ensure timely reporting.
  • Coordinate travel logistics for in-person meetings with the team.
  • Support PI and senior staff with auxiliary project management duties as needed and anticipate additional areas for support.
  • Serve on 1-2 Seven Directions internal committees.

Research and Project Implementation (10%)

  • Support the PI and project team in addressing Indigenous cultural needs for tribal site visits, convenings, trainings, and TA delivery and dissemination.
  • Assist with tribal community partner and site recruitment for pilots and research projects; coordinate guest speakers for webinars and convenings; support Advisory Board to ensure program success.
  • Engage stakeholders from NNPHI, Safe States, NCIPC, and tribal CDC grant recipients to integrate cultural humility in program implementation.

Research Study Design and Grant Preparation (10%)

  • Assist with ongoing grant submissions.
  • Support contracts and subawards development.

Dissemination of Findings (5%)

  • Support dissemination of findings to diverse audiences in multiple formats (academic publications, online forums, webinars,…
