About The Role

The Healthcare Administrator manages the operational infrastructure that supports compliant, efficient healthcare delivery across scheduling, patient access, billing coordination, and clinical-service workflows. The role connects healthcare operations with technology, ensuring teams use accurate data, standardized processes, and reliable systems to serve patients and providers. You will oversee day-to-day administration across HIPAA-regulated workflows, coordinate with clinical and business stakeholders, and use EHR, CRM, ticketing, and analytics platforms to identify issues and improve performance.

The role matters because strong administration directly affects access, revenue cycle accuracy, patient experience, and regulatory readiness.

Key Responsibilities
  • Own and improve administrative workflows across patient intake, scheduling, referrals, authorizations, billing coordination, and records management
  • Administer and optimize healthcare technology platforms, including EHR, practice-management, CRM, ticketing, and reporting systems
  • Monitor operational KPIs such as appointment utilization, referral turnaround, authorization aging, claim exceptions, service levels, and patient satisfaction
  • Build dashboards and recurring reports using tools such as Excel, SQL, Tableau, Looker, or Power BI to identify bottlenecks and support leadership decisions
  • Maintain HIPAA, privacy, security, payer, and applicable state and federal compliance processes; coordinate audits, documentation, and corrective actions
  • Lead cross-functional projects involving clinical operations, revenue cycle, engineering, support, and external healthcare vendors
  • Document standard operating procedures, train staff on system and workflow changes, and establish controls that improve accuracy and service quality
What We Are Looking For
  • 3-8 years of experience in healthcare administration, healthcare operations, practice management, revenue cycle, or a related environment
  • Working knowledge of US healthcare operations, including HIPAA, patient access, payer authorizations, claims workflows, and electronic health records
  • Hands-on experience with EHR or practice-management systems; familiarity with platforms such as Epic, Cerner, athenahealth, Salesforce, Zendesk, or comparable tools
  • Strong analytical and process-improvement skills, including advanced Excel or Google Sheets and experience with operational reporting or BI tools
  • Demonstrated ability to manage cross-functional projects, document requirements, and deliver process or technology improvements on schedule
  • Clear written and verbal communication skills, with the judgment to handle sensitive patient, financial, and compliance information
  • Bonus:
    Experience with SQL, healthcare APIs or HL7/FHIR integrations, Lean or Six Sigma methods, payer operations, or healthcare technology implementations
