Job Summary:
The HR Coordinator provides skilled administrative and coordination support to the Human Resources team across the employee lifecycle. This position supports onboarding, personnel file maintenance, employee record updates, benefits and employment verification processes, interview scheduling, ADP learning assignments, and timely employee communications. The role helps ensure HR processes are organized, accurate, confidential, and responsive so employees and managers receive high-quality support aligned with Chief Seattle Club's mission, values, and compliance responsibilities.
Essential Job Functions:- Coordinate new hire onboarding tasks, including initiating assigned ADP onboarding steps, sending onboarding date confirmations and directions, preparing welcome materials, and supporting completion of required new hire documentation.
- Process new hire and employee status paperwork, including Personnel Action Notices, new hire bonus payment requests, payroll notifications, and other HR forms requiring accurate routing, approval, submission, or follow-up.
- Support employment eligibility and compliance processes by completing Section 2 of Form I-9, submitting E-Verify cases, maintaining related documentation, and escalating questions or discrepancies as appropriate.
- Maintain accurate personnel, financial, medical, and digital employee files by filing documents daily, bundling completed files, organizing hard copy records, and protecting confidential information.
- Coordinate employee access and onboarding logistics, including submitting IT new user requests, registering ORCA card users, preparing staff s, and ensuring required materials are ready for orientation.
- Respond to routine employee inquiries regarding HR processes, policies, documentation, onboarding logistics, and benefits-related steps, providing timely information and escalating complex matters to HR leadership.
- Support recruitment administration by screening resumes or application materials as assigned, scheduling interviews, coordinating candidate communications, checking references, and helping maintain applicant records.
- Administer assigned ADP learning management tasks, including assigning trainings, sending reminders, tracking completions, and preparing routine reports for HR leadership.
- Compile data, update employee records, prepare routine reports, and support HR team projects, safety-related administrative tasks, and department communications as assigned.
- Essential Job Functions:
- Serve as administrative backup to other HR team members, including support with interview scheduling, employee activities, file organization, invoice approvals, reports, and other duties as situation requires or as assigned by supervisor.
- Support resident safety by responding appropriately to emergencies, reporting hazards or incidents promptly, and modeling safe practices in alignment with agency policies and trauma-informed care principles. Completion of all safety-related trainings. May be asked to participate in safety meetings and support OSHA reporting requirements.
- Other duties as assigned.
Education:High school diploma or equivalent required. Associate degree or bachelor's degree in business administration, human resources, or a related field preferred.
Experience:Typically, 1-3 years of administrative, human resources, office coordination, or related experience required. Experience supporting onboarding, document management, employee records, or recruitment coordination is preferred.
Licenses/Certifications:Human resources certification preferred, or ability to obtain an HR-related certification within one year of hire.

Competencies:
Proficiency with Microsoft 365, Outlook, Teams, Word, Excel, printers, badge , and standard office equipment; experience with ADP or another HRIS strongly preferred; ability to learn new systems; ability to maintain accurate employee records and confidential documentation; working knowledge or ability to learn HR processes, benefits administration steps, employment eligibility documentation, E-Verify, onboarding workflows, and applicable employment and workplace safety requirements.
