Assistant Community Manager

The Assistant Community Manager is responsible for overseeing, under the supervision of the Community Manager, the everyday operations and financial functions of the housing community. The role plays a vital part in rent collection to optimize the property’s cash flow and financial position, and manages all phases of operations—including personnel, leasing, maintenance, financial, administration, and risk management—in the absence of the Community Manager.

Essential Duties & Responsibilities Financial Management
  • Responsible for posting all payments and income received from applicants, current residents, and non‑current residents accurately and timely.
  • Process and reconcile daily account receivables.
  • Monitor and follow up on bad debt, including preparation of late notices, resident and guarantor contact, and filing evictions.
  • Help the property meet budgeted revenues, expenses, and Net Operating Income.
  • Post all charges to resident and non‑current resident accounts and bill back utilities where applicable.
  • Perform all end‑of‑the‑month closing procedures and reporting.
  • Maintain accurate, organized records and audit resident files to ensure accuracy.
  • Walk units and post all move‑out charges, statements, and security deposit refunds.
Personnel Management
  • Regular/daily onsite attendance is required.
  • Screen, hire, train, coach, and develop onsite staff using consistent techniques and company directives.
  • Ensure staff effectiveness through ongoing training, coaching, counseling, and guidance in compliance with Asset training benchmarks.
  • Promote harmony and quality job performance of staff through support and effective leadership.
  • Ensure staff compliance and consistency with company policies and procedures.
  • Effectively manage leasing techniques to secure closures, enforce follow‑up procedures, sign and document leases, and maintain accurate reporting systems.
  • Implement marketing strategies and systems put in place by the annual marketing plan.
  • Address resident complaints, concerns, and requests to ensure satisfaction.
  • Develop and implement resident retention programs (e.g., resident functions, special promotions, monthly newsletter).
  • Effectively show, lease, and move in prospective residents.
Administrative Management
  • Manage excellent customer service and monitor service‑request turnaround and responsiveness of maintenance staff.
