Job Description
The Department of OB/GYN seeks a Business Manager to oversee the administrative infrastructure and financial stewardship of the Reproductive Endocrinology and Infertility (REI) Division.
Reporting to Vice Chair Finance and Administration, the Business Manager will manage budgeting, operations, compliance, and strategic planning across a multi‑site program. This hybrid role requires onsite presence at least three days per week.
Key Responsibilities Financial Management (40%)- Manage and monitor the clinical budget; track expenditures and ensure proper use of funds.
- Prepare regular financial reports for division and department leadership; identify and resolve discrepancies.
- Develop annual budget proposals with the Division Chief, providing financial analysis for program, staffing, and expenditure decisions.
- Oversee procurement, vendor contracts, and expense reconciliation for the division.
- Coordinate financial administration of sponsored research and grants in partnership with research administration and finance staff.
- Handle financial processes specific to the REI clinical and laboratory program, including billing and cost‑tracking workflows.
- Maintain relationships with fertility specialty insurance programs.
- Manage day‑to‑day administrative operations of the REI Division.
- Serve as the primary liaison between the division and department leadership, the School of Medicine Dean’s Office, and central UW operational units.
- Develop and implement division‑specific administrative policies, procedures, and workflows; continuously improve operational effectiveness.
- Coordinate leadership meetings, retreats, and strategic planning activities; prepare agendas, materials, and follow‑up documentation.
- Manage space and facilities needs for the division in collaboration with other department administrative roles.
- Support the development of long‑range strategic and business plans for the REI Division.
- Prepare financial analyses, business cases, and program proposals for new service lines and program expansions.
- Lead special projects such as operational assessments and process improvement initiatives.
- Represent the REI Division on departmental and institutional committees as appropriate.
- Manage administrative components of regulatory reporting and accreditation requirements for the REI program.
- Develop and maintain administrative systems for regulatory compliance, including documentation and records management.
- Act as the administrative point of contact for institutional compliance and research regulatory requirements related to division activities.
- Support clinical and laboratory leadership in meeting program‑specific reporting obligations.
- Bachelor’s degree in Business Administration, Accounting, or Finance; or equivalent education and experience.
- Four to five years of experience in healthcare administration, academic medical center administration, or a closely related field with successful financial management and budget oversight.
- Master of Business Administration, Healthcare Administration, or a comparable degree.
- Experience in an academic medical center, academic department, or specialty clinical setting.
- Demonstrated experience in healthcare budget management, financial reporting, and fiscal oversight.
- Experience with sponsored research or grant administration.
- Proficiency with UW financial systems such as Workday or MyFD, or comparable systems.
- Strong analytical skills and ability to interpret financial data for varied audiences.
- Excellent interpersonal and communication skills; ability to work effectively with faculty, clinical staff, and administrative partners.
- High degree of discretion in handling sensitive information.
- Strong organizational and project management skills; ability to manage multiple priorities independently in a deadline‑driven environment.
- Externally imposed deadlines are common; the incumbent may need to manage activities beyond normal control.
