WHAT YOU'LL DO
As a Millwork Production Coordinator, you'll be responsible for:
Purchasing
* Coordinate with Millwork Engineer and Shop Supervisor to create take-offs from approved drawings for casework, hardware, and project components.
* Coordinate purchasing of materials, hardware, and shop supplies in alignment with production schedules.
* Track all orders and maintain accurate records for cost tracking and schedule visibility.
* Partner with the Shop Manager and Shop Supervisor to anticipate and fulfill material and tooling needs.
* Maintain inventory levels of consumables and ensure timely replenishment.
Shipping, Logistics & Delivery Coordination
* Coordinate outbound shipments including samples, materials, and hardware packages.
* Prepare shipment inventories and documentation for project deliveries.
* Coordinate shipping of materials to subcontractors and external partners.
* Arrange logistics for casework delivery including transportation, warehouse coordination, and site delivery.
* Organize shipping paperwork and photos for submittal to project teams.
* Communicate delivery schedules, inventories, and updates to project teams in collaboration with Millwork Project Manager.
* Oversee loading and ensure completeness and accuracy of shipments.
* Perform local deliveries as needed to support production and project timelines.
Inventory, Tools & Supplies Coordination
* Track and manage inventory of hardware, sheet goods, and shop consumables.
* Support organization of shop storage systems for efficient access and control.
* Assist in coordinating tool maintenance documentation and filing.
* Coordinate waste management including trash and recycling schedules.
Operational Support & Shop Coordination
* Provide day-to-day administrative and operational support to the Shop team.
* Coordinate with IT to ensure necessary equipment and systems are in place.
* Run errands and complete tasks that enable uninterrupted production flow.
* Partner with Shop leadership to maintain organization across materials, hardware, and work spaces.
* Step in to resolve gaps or issues proactively, demonstrating flexibility and ownership.
* Oversee shop vehicle usage, maintenance, and readiness.
Communication, Organization & Team Effectiveness
* Communicate clearly and consistently with shop staff, project teams, vendors, and subcontractors.
* Prioritize and manage multiple tasks and projects simultaneously with strong attention to detail.
* Maintain accurate records and ensure follow-through on all commitments.
* Actively listen, ask questions, and escalate issues when needed.
Safety Awareness & Compliance
* Follow and reinforce shop safety procedures and policies.
* Assist in documentation of safety and tool maintenance protocols.
* Maintain awareness of safety requirements in daily tasks and logistics coordination.
* Ensure compliance with company policies and safe work practices.
WHAT YOU NEED TO SUCCEED
To be successful as a Dowbuilt Millwork Production Coordinator, you'll need:
* At least 1 year of professional experience in an administrative support role, preferably a cabinet shop, manufacturing facility, or similar.
* Critical thinking skills; attention to details and accuracy
* Basic understanding of purchasing, inventory, or accounting processes preferred
* Ability to read architectural drawings preferred
* Proficiency in Microsoft Office and/or similar systems (Excel, Word, Smartsheet)
* Strong organizational and time management skills
* Ability to manage multiple priorities and meet deadlines
* Professional, respectful, and service-oriented approach
* Self-motivated, adaptable, and proactive
* Willingness to learn and take on new challenges
* Positive attitude with strong follow-through
Other Requirements:
* Valid driver's license and reliable transportation
* Ability to perform occasional local deliveries and travel (less than 10%)
* U.S. work authorization
* Ability to stand and walk for extended periods
* Ability to lift and carry up to 50 lbs.
* Ability to climb ladders and navigate shop environments
* Ability to perform tasks requiring fine motor skills and manual dexterity
* Ability to work in indoor/outdoor environments and varying conditions
* Ability to work in dusty environments with appropriate PPE
* Vision abilities include close, distance, color, and depth perception
