Position Summary

The Development Services Officer is responsible for logistical and administrative aspects of the Burke Museum’s fundraising program, including gift processing and donor acknowledgments, tracking of major gift prospects and pledges, direct mail and email appeals, and management of donor files. In addition, this position assists in the development and implementation of an engagement program that aligns with organizational goals to engage, maintain, and promote longstanding relationships with donors.

The Development Services Officer reports to the Annual Giving & Stewardship Manager and supports the development team to cultivate, solicit, and steward museum donors.

Core Duties Data Processing & Reporting
  • Manage all gift and pledge processing using University of Washington and Burke Museum Association donor databases (Advance and Salesforce).
  • Manage pledge tracking and billings, ensuring timely acknowledgment of all gifts and pledges.
  • Produce accurate and timely financial reports. Support unique campaigns and events through the production of invitation lists and tracking event participation.
Prospect Research & Tracking
  • Research donor prospects and prepare solicitation planning sheets for staff and volunteer meetings with individual, corporate, and foundation prospects.
  • Maintain current prospect lists and prospect tracking reports with data needed for solicitations.
  • Partner with the Corporate & Foundation Relations Manager on prospect research for unrestricted and restricted grants.
Program Development & Management
  • Support the Development team in the implementation of meaningful donor experiences that highlight the impact of giving to deepen donor engagement with the Burke.
  • Assist Annual Giving & Stewardship Manager in the collection and management of stewardship related data to ensure fulfillment of stewardship obligations.
  • Document and track stewardship actions, personal giving, recognition programs, and best practices.
  • Serve as the main point of contact for all development volunteers and work study students, assisting in the management of projects and assigned tasks.
Grant Submission Assistance
  • Support the Corporate & Foundation Relationship Manager with the submission of unrestricted and restricted grant applications; research, content creation, editing, submission, documentation, and tracking.
General Support & Other Duties As Assigned
  • Provide administrative support to the Director of Development and other development team members and board volunteers as requested.
General Responsibilities Data Processing & Reporting
  • Coordinate with the Burke’s finance team to track and reconcile all gifts and pledges.
  • Work with the Finance Manager to ensure effective communication for gift tracking and reconciliation. Manage all donor files, produce regular gift reports, and provide ongoing analysis of giving trends.
  • Act as a liaison between the Burke and UW Gift Processing to resolve questions about specific gifts, establish new gift funds, and create appeal codes as needed.
  • Coordinate with divisions at the Burke to ensure proper data input and that reporting needs are met.
  • Create and develop reports, donor profiles, project analysis, graphics, spreadsheets, and other customized collateral as needed.
Data Maintenance
  • Collaborate across teams to ensure that all newly-created contact and account records in Salesforce are consistent and that external  from other databases, such as Advance, are reviewed and updated as needed.
  • Ensure deceased contacts are updated and salutations adjusted as required for spouses. Coordinate with the head of Visitor Services, Education Department, and Facility Rentals staff to ensure that contacts are qualified promptly.
Annual Fund
  • Assist Annual Giving & Stewardship Manager and Burke Museum Association (BMA) in fundraising efforts for the annual fund; manage spring and fall appeal mailings.
  • Support participation in giving days (Husky Giving Day and Giving Tuesday). Track and report on the status of regular donations; secure outstanding gifts and pledges.
