Position Overview:
The Program Coordinator, Food & Nutrition is a critical connector across departments, teams, volunteers, and external partners - ensuring effective communication, alignment of goals, and smooth collaboration. This role plays an essential part in the success of Lifelong's Food & Nutrition Program by overseeing fleet operations, coordinating volunteer engagement, and supporting program administration.
The Coordinator must balance attention to detail with the ability to forecast and manage competing demands, always prioritizing the client and volunteer experience. They identify gaps, resolve conflicts, and implement solutions that enhance efficiency and advance organizational goals. Strong communication and relationship-building skills are key to success in this role. This regular, full-time, non-exempt, union position is 100% on-site in the Georgetown neighborhood of Seattle, 08:30AM – 5PM Monday
- Friday.
Essential Duties:
- Route and dispatch deliveries for Agency vehicles; provide all necessary paperwork.
- Assign volunteer delivery areas and dispatch volunteer drivers.
- Maintain vehicle records, including maintenance logs, permits, insurance, and license tabs.
- Track mileage, fuel usage, and fuel card transactions; collect receipts for invoicing.
- Manage DMV paperwork and coordinate vehicle inspections.
- Serve as the primary contact for fleet drivers; monitor delivery schedules and performance.
- Build and maintain relationships with auto service vendors; schedule repairs, recalls, and preventive maintenance.
- Track, analyze, and report key fleet KPIs (e.g., utilization, on-time delivery, volunteer driver satisfaction/retention).
- Partner with Client Services, Facilities, and Warehouse teams to respond to urgent service needs.
- Initiate third-party delivery (3PD) shipments and coordinate with warehouse staff.
- Represent the organization at external meetings and stakeholder gatherings such as the Food Is Medicine Coalition.
Volunteer Engagement:
- Build and maintain strong, long-term relationships with volunteers and partner organizations.
- Process volunteer applications and paperwork, including background checks and training compliance.
- Forward new volunteer applications to appropriate program managers.
- Coordinate volunteer scheduling for projects, recognition events, fundraising, and community outreach.
- Facilitate communications with volunteers about events, holidays, and program updates.
- Serve as a visible and approachable point of contact for Food & Nutrition volunteers at the Georgetown Yards facility.
- Support and address staff or volunteer concerns, ensuring a positive and engaging experience.
Administration:
- Enter and maintain program data in Lifelong's Volgistics database.
- Generate and distribute volunteer reports through Volgistics.
- Maintain organizational calendars and update records as needed.
- Adhere to organizational protocols for program documentation and data collection.
- Perform additional duties as assigned.
