UW Medical Center Northwest has an outstanding opportunity for a Program Coordinator, Volunteer Services.
Work Schedule- 40 hours per week
- Day Shift
- Monday - Friday 8am – 4:30pm
UWMC Volunteer Services Program Coordinator supports the administrative and program operations of the Volunteer Services department for the Montlake and Northwest programs. This position is primarily stationed at Northwest Medical Center. This role works in a close and collaborative environment with the Volunteer Services Program Operations Specialist and Volunteer Services Program Manager. The position includes oversight of the overall volunteer program at two campuses, which includes onboarding volunteers: processing volunteer applications, training new volunteers, oversight of volunteer performance, program calendar management, updating files, database entry, and ensuring volunteer compliance and records compliance.
The position requires extensive involvement with students, community volunteers, staff, patients, the public and/or agencies by supporting program activities and program goals.
Job Responsibilities
- Lead daily operations of the volunteer program to meet needs across both hospitals
- Model UWMC Service Culture Guidelines and proper infection prevention/PPE use
- Manage volunteer onboarding, including inquiries (phone, email, in-person), application review, and compliance with standard procedures
- Maintain and update the volunteer database; track metrics and prepare regular reports
- Communicate with volunteers regarding opportunities, updates, and program information
- Foster strong relationships and two-way communication with volunteers and internal teams
- Coordinate volunteer activities across both campuses as needed
- Support recruitment and engagement efforts with community groups and donors
- Maintain volunteer supplies, including uniforms and onboarding materials
- Prepare materials for interviews, orientations, and trainings (print and digital)
- Update volunteer service descriptions and manage the operations calendar
- Maintain an organized office and assist with volunteer recognition programs
- Collaborate with Volunteer Services leadership to ensure program success
- Promote a welcoming, inclusive, and engaging volunteer environment
- High school graduation or equivalent AND two years of experience in the program specialty
- Equivalent education and/or experience may substitute for minimum qualifications except when there are legal requirements, such as a license, certification, and/or registration
- Experience in high level customer service roles
- Demonstrated emotional intelligence
- High proficiency with Microsoft Word, Excel, Publisher, PowerPoint, databases, and use of social media
- Familiar with equipment typical of complex office settings
- Excellent verbal and written communication skills
- Excellent interpersonal and teamwork skills
- Ability to organize and prioritize workload appropriately to ensure deadlines are met
- Ability to handle confidential/sensitive issues
- Ability to communicate and deal tactfully with a diverse population of volunteers, hospital personnel, visitors, and patients
- Ability to work independently with little supervision
- Familiarity with UWMC Montlake and Northwest departments and locations
- Experience in volunteer, community service, and/or employee recognition programs
- Experience interacting with patients and patient families
- Experience with Volgistics Volunteer Management database
- Familiarity with Instagram
Pay Range Minimum: $26.21 hourly
Pay Range Maximum: $35.24 hourly
