We are currently seeking a
Portfolio Support Specialist!Provides administrative and operational support across a portfolio of communities by assisting with leasing processes, maintaining accurate records, supporting on-site teams, and helping stabilize operations. This role helps ensure consistency in documentation, customer service, and day-to-day operations while training, mentoring, and supporting property staff to promote operational excellence and long-term success.
Responsibilities Include
- Assist with processing applications and supporting leasing documentation across assigned communities
- Maintain accurate resident files, lease records, and system data
- Ensure files are complete and comply with company policies and procedures
- Support on-site teams by helping track unit availability, lease terms, and basic property information
- Assist with preparing units and coordinating readiness for move-ins or property showings as needed
- Maintain awareness of community policies, leasing requirements, and general property information
- Provide support in responding to resident and prospect inquiries in a professional and timely manner
- Assist with handling resident requests and escalating issues when appropriate
- Support outreach efforts by helping maintain contact lists and distributing marketing or informational materials
- Assist with gathering market and competitor information as requested
- Help maintain organized work spaces, files, and shared systems
- Identify and report any inconsistencies, missing information, or unusual issues related to residents or property operations
- Maintain a professional appearance and conduct at all times
- Provide on-the-job training, guidance, and support to on-site team members regarding leasing processes, file management, operational procedures, and company standards.
- Assist with onboarding and mentoring property staff by sharing best practices and reinforcing operational consistency across assigned communities.
- Identify operational knowledge gaps and collaborate with property leadership to support employee development and process improvement.
- Coordinate and facilitate individual or group training sessions as needed to support compliance, leasing effectiveness, customer service, and administrative procedures.
- Serve as a resource for property teams by helping implement standardized processes and promoting operational best practices.
- Travel regularly between assigned communities to provide operational, leasing, training, and administrative support as needed
- 1–3 years of experience in multifamily, leasing, customer service, or administrative support roles preferred
- Experience supporting leasing processes, resident files, or property operations is a plus
- Demonstrated ability to manage multiple tasks and maintain accuracy in a fast-paced environment
- Experience working with property management systems (e.g., Yardi, AIM, Entrata) or similar platforms preferred

- Compensation: Full-Time $32.00 to $34.00 per hour
