The Department of Family Medicine has an outstanding opportunity for a Grants and Contracts Manager/Specialist to join their team.
About this Opportunity
Reporting to the Associate Director for Research, the Grants and Contracts Manager/Specialist is responsible for providing comprehensive pre- and post-award grants and contracts management support for the Department of Family Medicine's expanding research portfolio. This position supports a diverse range of federally and non-federally funded research programs and works closely with faculty investigators, research teams, and University partners to ensure successful proposal submission, award management, compliance, and financial stewardship.
This position is based within the Department of Family Medicine Research Section, which includes the UW Center for Health Workforce Studies, the WWAMI Rural Health Research Center, and the WWAMI-region Practice and Research Network (WPRN). The position is a hybrid role and, when working on-site, will be based at Roosevelt Commons on the UW Seattle campus.
Key Responsibilities
Post-Award and Sub-Award Management - 60%
* Liaise with sponsors, the Office of Sponsored Programs, and Grant and Contract Accounting to support award setup and ongoing award management
* Ensure grant, contract, and sub-award agreements are executed in a timely manner
* Coordinate administrative management of domestic and international research sub-awards
* Process advance budget requests, no-cost extensions, prior approvals, and subcontract modifications
* Assist research teams with budgeting for supplemental funding, renewals, and special projects
* Support sponsor-required financial reporting activities
* Provide guidance to Principal Investigators regarding sponsor and University compliance requirements
* Develop ad hoc financial and analytical reports for department leadership
Pre-Award Grant Submission Support - 20%
* Manage proposal submission timelines and processes
* Ensure compliance with sponsor proposal requirements
* Develop proposal budgets in collaboration with Principal Investigators
* Prepare and review proposal materials, including budget justifications, biosketches, and other support documents
* Coordinate proposal development with internal and external stakeholders
* Manage supplemental proposal materials and subcontractor documentation
* Enter proposal information into University and sponsor systems (e.g., SAGE, grants.gov, eRA Commons, Workspace, EHB)
General Research and Grants Administration - 20%
* Provide training and consultation to faculty and staff on grant and contract processes
* Serve as an administrative liaison with University offices related to sponsored projects and compliance
* Maintain departmental grant documentation and records
* Ensure faculty biosketches, CVs, and other support documents remain current
* Participate in UW sponsored projects trainings and meetings
* Perform other grant and research-related duties as assigned
Required Qualifications

Minimum Qualifications

* Bachelor's degree in a relevant field
* Two to three years of administrative experience supporting grant and contract applications and funded grants/contracts
Additional Qualifications
* Experience developing and monitoring grant budgets
* Working knowledge of federal grant rules and regulations
* Demonstrated attention to detail, accuracy, and efficiency
* Excellent interpersonal and communication skills
* Excellent written and verbal English language skills
* Ability to work independently and manage multiple complex projects simultaneously
* Proficiency with word processing, spreadsheet, and database software
Preferred Qualifications
* Working knowledge of University of Washington grant and contract guidelines
* Familiarity with grants.gov, eRA Commons, HRSA EHB, and other sponsor portals
* Experience with University of Washington systems such as SAGE, Workday, and EDW
* Advanced Microsoft Excel skills
* Basic knowledge of IRB processes

* This is a hybrid position
* When working on-site, the position will be based at Roosevelt Commons on the UW Seattle campus
