This role is far more than calendar management. The Executive Assistant will serve as a trusted operational partner helping drive organizational efficiency, communication flow, office operations, and execution across multiple parts of the business. This individual will operate at the center of the organization—balancing executive support, office management, event coordination, and product sample logistics with professionalism, urgency, and discretion.
The ideal candidate thrives in a high-growth environment, anticipates needs before they arise, and can seamlessly shift between strategic coordination and hands‑on execution. This role requires exceptional organizational skills, strong judgment, attention to detail, and the ability to manage multiple priorities simultaneously while maintaining a calm and solutions‑oriented approach.
In this role, you will own:
- Executive Support & Coordination for Founder / CEO and COO
- Office Management across NYC and Secaucus locations
- Internal Events & Team Experience Coordination
- Product Development & Trade Show Sample Coordination
- Cross‑Functional Administrative Operations
- Manage complex and dynamic calendars for the Founder / CEO and COO across internal meetings, external partners, travel, and board‑related activities.
- Coordinate domestic and international travel arrangements including itineraries, transportation, accommodations, and expense management.
- Prepare executives for meetings through agenda coordination, meeting materials, briefing documents, and follow‑up tracking.
- Serve as a central communication hub across leadership, ensuring priorities, deadlines, and follow‑ups are organized and executed.
- Support confidential communications, sensitive projects, and executive‑level administrative needs with professionalism and discretion.
- Help drive organizational efficiency by proactively identifying gaps, bottlenecks, and operational improvement opportunities.
- Coordinate leadership meetings, executive offsites, and cross‑functional business reviews.
- Oversee day‑to‑day operations of both the NYC and Secaucus offices to ensure a professional, organized, and welcoming environment.
- Manage office vendors, supplies, maintenance requests, deliveries, catering, and workplace services.
- Coordinate office logistics including seating, conference room management, guest experience, mail/package handling, and office readiness.
- Partner with HR and leadership on employee engagement initiatives, office events, onboarding logistics, and team experience programs.
- Support the execution of workplace policies, procedures, and operational standards across locations.
- Act as a point person for office‑related problem solving and operational coordination.
- Plan and execute internal company events including team meetings, offsites, leadership workshops, holiday celebrations, and employee engagement activities.
- Coordinate logistics for customer meetings, retailer visits, executive workshops, and partner events.
- Support trade show planning including registration management, travel coordination, booth logistics, sample readiness, shipping coordination, and on‑site support as needed.
- Manage event timelines, vendor coordination, catering, budgets, supplies, and execution details to ensure polished and seamless experiences.
- Partner cross‑functionally with Marketing, Sales, Product, and Operations to support brand and organizational events.
- Coordinate product development sample tracking across Product Development, Design, Sales, Operations, and external suppliers.
- Help manage organization and movement of development samples, approvals, retailer samples, trade show samples, and executive review samples.
