Administrative Assistant (Early Intervention)

Employment Type: Part-time, 20 hours per week (Mon‑Fri 8:00‑4:30)
Position SummaryThe Early Intervention Administrative Assistant supports the System Point of Entry (SPOE) team by performing clerical and administrative tasks that reflect CHS’s mission and ensure quality improvements and compliance with DESE contract requirements.
Essential Duties and Responsibilities- Creates a culture of communication by positively representing the First Steps Program, DESE, and CHS; demonstrates respect for cultural differences of families, children, co‑workers, and the public consistent with trauma‑informed practices.
- Supports SPOE spreadsheets, prepares reports, updates forms, manages program documents, and handles information requests; assists with data entry, document preparation, intake activities, filing/uploading, and retention to meet timelines and deadlines.
- Responds to questions in the SPOE office and links families and community members to appropriate supports using general knowledge of CHS and First Steps.
- Provides office coverage Monday through Friday 8:00‑4:30 during required contract days.
- Assists SPOE with process improvement by reviewing and refining processes and developing new strategies.
- Promotes a positive safety culture; follows CHS safety policies and completes required training.
- Maintains confidentiality of program, staff, and client information.
- Associate’s degree (AA or AAS) in related field and one year of related experience, or combination of education and experience equaling three years.
- Valid driver’s license and proof of personal vehicle insurance.
- Background screenings prior to start; fingerprinting after starting.
- Knowledge of Paycom and WebSPOE.
- Excellent Excel, Word, and PowerPoint skills.
- Strong written and verbal communication.
- Strong organizational skills.
- Person‑centered approach; respects rights of all individuals served.
- Strong working knowledge of First Steps and DESE requirements.
- Attention to confidentiality.
- Accurate listening, conceptual thinking, constructive criticism, personal accountability, positive attitude, proactive thinking, respect for policies, results‑oriented thinking, self‑starting, strong adherence to confidentiality.
- Prolonged periods sitting at a desk and working on a computer.
- Occasional lifting up to 10–25 pounds.
- Good close vision and ability to adjust focus while using the computer.
