Position Summary :
The Administrative Assistant for Family & Community Support assists families and other clients who visit or call Central Office with administrative needs. This role also handles a significant amount of confidential data regarding students and staff, provides support to payroll, and supports the School Business office in communication and workflows compliant with local, state, and federal regulations.

QUALIFICATIONS :

  • High School diploma or equivalent and a minimum of one year of administrative assistance or office experience; relevant Associate’s or Bachelor’s Degree preferred.
  • Demonstrated experience in Microsoft Office and Google Workspace Applications including but not limited to MSExcel/Sheets and MS Word/Docs.
  • Experience with Aspen Student Information System and MUNIS municipal financial system preferred.
  • Strong interpersonal skills, and excellent written and oral communication skills, for the purpose of evaluating situations, solving problems, and/or resolving conflicts.
  • Accuracy, attention to detail, and analytical skills.
  • Ability to recognize and resolve discrepancies with minimal assistance.
  • Ability to work both independently and collaboratively as a team member to prioritize needs and meet deadlines
  • Sound judgment in handling confidential and sensitive student and employee information.
  • Demonstrate willingness to adjust to the changing needs of the school department, with the flexibility to meet those needs.
  • Valid driver’s license and reliable vehicle.
  • Such alternatives to the above qualifications as the Superintendent of Schools may find appropriate and acceptable.

RESPONSIBILITIES AND ESSENTIAL FUNCTIONS include but are not limited to:

  • Answer the main phone line and front door, directing callers and visitors to the appropriate resources as needed.
  • Respond to requests for CORIs and work permits.
  • Support onboarding of new employees as needed.
  • Track and internally report student and family data in compliance with state and federal expectations for grants, homeschooled students, and selected populations.
  • Track and internally report staff data around professional development, mentoring, and payroll.
  • Receive and ensure completeness of documentation for building use forms.
  • Reconcile and invoice financial data around activities, revolving accounts, technology repairs, and facilities use.
  • Assist with monthly, quarterly and year-end processes, ensuring the integrity of the information.
  • Assist other office personnel as directed by the School Business Administrator in order to ensure that appropriate deadlines are met.
  • Share responsibility for any other minor office tasks as needed.
  • Act as the backup to accounting and payroll, with cross-training as needed.
  • Performs any other duties as deemed appropriate by the School Business Administrator or Superintendent

TERMS OF EMPLOYMENT :

Full time 8 AM to 4 PM during the school year; summer schedule may be negotiable.

COMPENSATION RANGE:

$20-$28/hour, depending upon experience and skillset

Eligible for all benefits available to Town of Seekonk employees

EVALUATION :

Formal evaluations will be performed annually by the School Business Administrator and Superintendent of Schools, with input from other Central Office Administrators and the Supervisor of Buildings & Grounds.
