Description
The Switchboard operator handles incoming and outgoing calls, greet visitors, and provide information and support. Their duties include operating communication systems, transferring calls, taking messages, and performing various administrative tasks such as data entry. A key part of the job is serving as a professional, calm, and courteous first point of contact, ensuring clear communication and delivering excellent customer service. This is a part-time position reporting to the Director of Network Systems.
Qualifications- High school diploma or equivalent required.
- Prior experience in a receptionist, customer service, or switchboard role preferred.
- Proficiency with multi-line phone systems and basic office equipment.
- Strong verbal communication and customer service skills.
- Ability to type accurately and perform basic data entry tasks.
- Manage communications:
Operate switchboards and systems to manage incoming, outgoing, and internal phone calls. - Handle and direct calls:
Answer calls promptly, assess caller needs, and transfer calls to the appropriate individual or department. - Provide information:
Respond to inquiries regarding general information about the college. - Take and relay messages:
Record accurate messages and ensure they are clearly written and delivered to the proper recipient. - Handle emergencies:
Follow established protocols when receiving emergency calls to ensure the appropriate personnel or services are contacted immediately. - Perform administrative tasks:
May include filing, data entry, photocopying, managing mail, and other routine office support functions. - Perform other duties as assigned by Director of Network Systems.
- Work is performed in a standard office or reception area with regular interaction with employees, visitors, and callers.
- Moderate noise levels may occur due to conversations, office equipment, and multiple active phone lines.
- The role requires extended periods of sitting, frequent phone use, and operation of computers and communication systems.
- Must remain calm, focused, and professional in a fast-paced environment with frequent interruptions.
- Occasional lifting of materials up to 10–15 lbs. may be required.
- Extended periods of sitting and frequent phone and computer use.
- Regular talking, listening, typing, and writing tasks.
- Occasional lifting or moving materials up to 10–15 lbs.
- Ability to stay focused and attentive while managing multiple tasks.
