Job Description & How to Apply Below
This role is a great fit if you have 2 to 3 years of experience in customer service or another customer-facing role, a sharp eye for detail, and the kind of communication skills that make customers and colleagues feel taken care of. You do not need a background in electrical or transformers. We will teach you what you need to know about our products.
What we can not teach is the drive to learn quickly, the care to get things right, and the people skills that make you someone customers and teammates genuinely rely on. If that sounds like you, read on.
Your Mission Right now, one person is managing nearly everything that touches an order after it's sold: entry, acknowledgment, logistics, follow-up, and all the coordination in between. We are at a point where that needs to change. Your job is to take ownership of that process so the rest of the team can focus on what they do best.
You will make sure orders get into the system accurately, customers hear from us promptly, the shop has what they need to build, and shipments actually leave when they are supposed to. When something falls through a crack, you are the one who catches it and gets it back on track.
A Day in the Life You come in and scan the order queue. A sales rep closed a deal yesterday afternoon on a stock unit that is ready to go. You pull the spec, create the sales order in Cin7, send the order acknowledgment, and get the BOL set up through Old Dominion. You loop in the shop and move on.
Twenty minutes, done.
Mid-morning, a larger order hits. Six units, six separate sites, six separate order acknowledgments required. You pull the specs from the quote, cross-check against the deal, and flag a fluid spec discrepancy before it becomes a shop problem. You loop in the sales rep, get the correction, and send the acknowledgments with the tax exemption certificate request attached.
After lunch, you follow up on three outstanding tax certs that are holding up progress payments. One customer gets back to you right away. One needs a nudge. You note the third for accounting.
Later in the afternoon, you coordinate pickup with a freight vendor for a transformer shipping out Friday. It's a heavy unit, so dimensions matter. You pull the drawing, confirm the trailer spec, and make sure the shop has the BOL in hand before end of day.
You close out the day reviewing your open order list, flagging anything that needs follow-up tomorrow morning, and making sure nothing is sitting quiet when it should not be. That kind of ownership is exactly what this role is about.
If any of that sounds unfamiliar, tha's okay. There is a lot to take in, and we know it. We will be right here with you to make sure you get a strong start.
Who You Are You're the kind of person who notices when something's missing and goes and finds it. Not because someone asked you to, but because leaving a gap open bothers you. You like having your hands on a process and knowing the status of things without having to ask.
You're comfortable talking to a lot of different people in a day—a customer asking about a ship date, a sales rep who needs a spec confirmed, a shop supervisor flagging a missing detail on a work order. You can shift gears between those conversations without losing your place.
You probably have a few years of experience in a customer-facing or operations role. Your previous experience taught you that small details matter. You also learned that, when it comes to creating a smooth customer experience, how you communicate is just as important as what you communicate.
You're not looking to manage people or make the rules. You're looking for a role where you can do excellent work, be genuinely useful to a great team, and grow with a company that's going somewhere.
What You'll Be Doing Own the order entry process in Cin7: create sales orders, generate order acknowledgments, and make sure every order is complete and accurate before it moves forward.
Coordinate with the shop on specs and work order details, flagging anything missing or inconsistent before it causes a delay.
Manage outbound logistics for transformer shipments, from small parcel to heavy freight, coordinating with carriers and making sure the shop has what they need low up with customers on tax exemption certificates, payment timelines, and shipping updates, keeping the communication chain tight.
Serve as the first line of response for inbound customer inquiries: order status, documentation requests, and ship date questions, looping in the sales team as needed.
Support the transition of customer repair units through the system, managing the extra process steps that come with special…
