Monday–Thursday 7:00 AM – 5:00 PM
Thursday–Sunday 7:00 AM – 5:00 PM

What You’ll Do Administrative & Front Desk Operations
  • Provide front desk reception and facility access coordination.
  • Welcome patients, visitors, referral partners, vendors, and staff in a professional and culturally respectful manner.
  • Screen visitors and maintain facility sign-in/sign-out procedures.
  • Answer and route incoming phone calls, emails, faxes, and other communications.
  • Coordinate communication across shifts, departments, referral partners, and operational staff.
  • Support organized administrative workflows while maintaining a secure and welcoming environment.
  • Perform general office duties including supply organization, document processing, and administrative support.
Referral & Care Coordination
  • Receive and process referrals from community partners, healthcare organizations, patients, and other referral sources.
  • Coordinate admissions communication, documentation, and operational workflows.
  • Serve as a liaison between referral sources and the interdisciplinary treatment team regarding referral status, required documentation, admissions coordination, and follow-up.
  • Obtain, organize, and maintain referral and admissions documentation.
  • Support timely patient access through effective admissions coordination.
  • Coordinate administrative and logistical aspects of patient discharge and transition planning, including follow-up appointments, transportation coordination, and continuity-of-care documentation.
  • Serve as an operational liaison with Tribal health programs, community resources, outpatient behavioral health providers, housing resources, and referral partners.
Patient Information & Documentation
  • Receive, process, and maintain confidential patient, referral, insurance, and health information in accordance with HIPAA and organizational policies.
  • Upload, organize, and maintain documentation within the electronic health record (EHR).
  • Maintain organized patient records, authorizations, forms, and operational documentation.
Insurance Verification & Utilization Management Support
  • Verify patient insurance coverage, funding sources, and payor information.
  • Support utilization management (UM) processes and documentation requirements.
  • Obtain and track insurance authorizations and documentation requests.
  • Maintain accurate records related to insurance coverage and authorization workflows.
Team & Operational Support
  • Provide administrative support to the interdisciplinary treatment team.
  • Support communication related to discharge planning and continuity of care.
  • Collaborate with clinical, medical, operational, and support staff to promote efficient daily operations.
  • Build positive working relationships with patients, families, referral partners, and community agencies.
  • Perform other duties as assigned.
Minimum Qualifications
  • Education:

    High school diploma or equivalent required.
  • Experience:

    Two (2) years of experience in customer service, healthcare coordination, behavioral health, admissions, administrative support, or a related setting.
  • Knowledge, Skills & Abilities:
    • Knowledge of HIPAA, patient confidentiality, and professional boundaries.
    • Strong verbal, written, and interpersonal communication skills.
    • Ability to remain professional and composed in a behavioral health environment.
    • Strong organizational skills with the ability to prioritize multiple tasks and competing demands.
    • Ability to maintain accurate documentation and records.
    • Ability to work collaboratively within an interdisciplinary team.
    • Ability to interact respectfully with individuals from diverse backgrounds and experiences.
    • Commitment to culturally respectful, trauma-informed, and recovery-oriented care.
    • Basic computer proficiency including Microsoft Office, email systems, and electronic health records.
    • Excellent customer service skills.
    • Ability to maintain confidentiality and exercise sound judgment.
    • Valid driver's license with the ability to travel locally or regionally as needed.
    • Ability to successfully pass a criminal background investigation.
