Job Description / General Function

Member Services Representative (MSR) staff are responsible for managing all front desk operations. Duties include answering a multi‑line phone system, greeting members by name, checking members in and out in a timely manner, and processing cash, check and credit card payments while providing exceptional customer service. MSRs must be able to type a minimum of 45 words per minute and possess basic computer skills.

Responsibilities
  • Ensure all MSR activities are properly integrated to achieve quality customer service.
  • Effectively communicate member complaints and issues to the MSR Coordinator.
  • Present a positive attitude and demeanor toward all members, guests, and staff.
  • Learn and use members’ names.
  • Record messages in a legible and accurate manner and deliver them to the proper person.
  • Maintain a working knowledge of all YMCA programs, events, and policies.
  • Work independently without supervision on occasion.
  • Have full knowledge of opening, closing, and safety procedures for medical and environmental emergencies.
  • Assist with daily operations of the office (e.g., answer phones, take program registrations, process membership sign‑ups).
  • Assist all departments with various projects when time allows.
  • Work effectively in a team environment and independently.
  • Be organized, task‑oriented with good follow‑through.
  • Adhere to proper credit card, check‑cashing, and cash‑handling policies and procedures.
  • Be responsible for daily till out of monies taken for the shift.
  • Read the Communication Binder daily and be responsible for the information therein.
  • Attend mandatory monthly staff meetings and trainings.
  • Maintain cleanliness and neatness of the front desk area.
  • Notify the MSR Coordinator when supplies are low and need reordering.
  • Organize and manage lost and found items.
Qualifications – Required Skills and Experience
  • Strong administrative and computer skills, including Microsoft Office, Google Workspace, and internet applications.
  • Ability to respond to safety and emergency situations.
  • Ability to relate well and communicate effectively with a diverse group of individuals in all circumstances.
  • Pass a comprehensive background screening.
  • High school diploma or equivalent.
  • 18 years of age or older.
  • Current CPR and first‑aid certification, or ability to obtain one within 30 days of hire.
Additional Expectations and Duties
  • Attend staff meetings and trainings as required and complete all online trainings, including child abuse prevention training within 7 days of hire.
  • Uphold YMCA policies for safety, supervision, mandated reporting, and risk management, and adhere to policies regarding boundaries with youths.
  • Report suspicious or inappropriate behaviors and policy violations in accordance with mandated reporting requirements.
  • Perform general housekeeping tasks to keep the workspace clean.
  • Submit hours worked accurately on the electronic timecard within the specified timelines for supervisor approval.
  • Demonstrate passion for high standards and belief in the YMCA mission of youth development, healthy living, and social responsibility.
  • Maintain a flexible schedule as needed, including occasional evenings, weekends, or early mornings.
  • Perform other duties as assigned by supervisor.
Working Conditions Environment
  • Office environment with occasional interruptions.
  • Noise level is usually moderate.
  • Evenings and/or early mornings, and/or weekend hours may be required periodically.
  • Occasional travel may be required.
Physical Abilities
  • Regularly use a computer for extended periods, including long periods of sitting, keyboard entry, and use of office equipment.
  • Speak concisely and effectively communicate.
  • Communicate using a computer and phone/smart device.
  • Be able to sit, reach, move around the work environment, and balance.
  • Respond to critical visual and auditory situations and act swiftly in an emergency.
  • Perform specific vision tasks (close, distance, and adjustment).
  • Perform physical tasks such as stooping, crouching, standing, walking, balancing, bending, leaning, kneeling, and climbing.
  • Carry supplies up to 25 lbs.
Driver Requirements
  • Valid driver’s license and proof of insurance for private vehicle reimbursement.
  • YMCA vehicle use: 18 years of age or older, valid driver’s license, and a driving record that meets or exceeds YMCA standards; driver records will be requested.
