Office Administrator/ Coordinator
This position performs various administrative duties, such as the coordination of office related functions and assisting with administrative functions of the Geographical Information Systems office for Sevier County government. The incumbent is primarily responsible for the oversight of all administrative functions including the preparation of daily reports and deposits, answering phone calls and online request, assisting customers, and insuring the efficient operation of the Geographical Information Systems office.
In addition, the incumbent assists with performing in house field activities including the evaluation of property to determine the suitability for obtaining custom projects, assisting with the preparation of correspondence, memoranda and GIS documents, assisting with providing information to the public regarding GIS related issues and, for assisting with the maintenance and update of GIS information and related maps and documentation of all property and infrastructure located in the county.
Job responsibilities require considerable experience in office administration, strong organizational, interpersonal and decision-making skills. Job performance is evaluated by the Director of Geographical Information Systems through review of the efficiency of office operations, accuracy of financial transactions and reports, level of technical expertise, organizational, interpersonal and decision-making skills and ability to perform job assignments in a timely manner.
- Oversees all administrative activities and functions associated with the office of Geographical Information Systems.
- Supervises and assists with the preparation of daily reports and financial deposits for submission to the Trustee’s office.
- Assists developers, contractors, surveyors, etc. and provides them with information regarding GIS Map, fees, applications, etc.
- Collects fees for GIS projects from customers, surveyors, developers, etc., provides receipts and maintains records of all financial transactions.
- Ensures that all office equipment is functioning properly, assists with ordering office inventory and contacts service providers when necessary.
- Assists with the annual budgetary process and insuring the accurate reporting of all revenues and expenses.
- Prepares monthly reports for County Commission detailing departmental activities, financial transactions, citations issued, etc.
- Interacts with the Register of Deeds, and Property Assessors office for property cards, plat maps, survey maps, property deeds, etc.
- Interacts with all county departments for GIS mapping applications.
- Attends classes and participates in training programs to remain current on practices pertaining to Geographical Information Systems.
- Maintains records and supporting documentation pertaining to daily activities in an organized and accessible manner.
- Performs related duties as required.
- Possession of a valid Tennessee Driver’s License and the ability to be insured at standard automobile liability rates.
- Thorough knowledge of office administration practices and procedures including the organization and storage of information, delegation of job responsibilities and coordination and oversight of financial transactions.
- Thorough knowledge acceptable accounting practices and procedures including the preparation and monitoring daily reports.
- Considerable knowledge of construction trades and practices associated with the development of new subdivisions, houses, commercial properties, etc.
- Considerable knowledge of Sevier County including major roadways, location of subdivisions, rental properties, industrial parks, etc.
- Considerable knowledge of surveying practices.
- Considerable knowledge of GIS equipment including software applications and programs and related hardware components.
- Ability to organize and coordinate administrative functions and establish operational policies and procedures to insure the prompt delivery of service to clients, efficiency of office operations and accuracy of financial transactions.
