Overview

The Assistant Probation Officer is responsible for assisting with supervision of misdemeanor offenders placed on court-ordered probation, ensuring compliance with all rules and sentencing conditions. The primary areas of responsibility include attending court to sign up new offenders, conducting monthly reporting appointments, administering drug screens, monitoring payment of fines/costs and probation fees, and maintaining accurate case documentation. Job performance for this position will be evaluated by the Probation Program Director, in conjunction with the General Sessions Judges, based on offender compliance outcomes, accuracy and timeliness of documentation, knowledge of probation protocols, and organizational and interpersonal effectiveness.

Responsibilities
  • Assists with supervision of misdemeanor offenders placed on court-ordered probation to ensure compliance with all probation conditions; schedules and conducts routine reporting appointments with offenders at least monthly, and more frequently as needed based on compliance and progress.
  • Assists with attending General Sessions Court to sign up new misdemeanor offenders and support court-related administrative processes.
  • Reviews intake documentation and judgments entered into the system for accuracy; prepares case files for new intakes and ensures required documents are properly maintained.
  • Conducts interviews with offenders to assess compliance and progress toward probation requirements; assists with monitoring adherence to court-ordered conditions.
  • Administers and supervises drug screens as required; documents screening activities and results in accordance with established procedures.
  • Conducts routine arrest report checks and reviews public court records to confirm offenders remain compliant with the law and verifies required fines and costs have been paid prior to sentence expiration.
  • Assists with preparing violations of probation (VOPs) and related documentation when non-compliance occurs; assists with preparing and filing violation warrants and required reports.
  • Monitors and documents offenders’ payment of court fines, costs, and probation fees in accordance with sentencing guidelines.
  • Assists with verifying offenders’ employment status and maintaining current home address and contact information for program participants.
  • Coordinates and maintains communication with local agencies and service providers to assist offenders with access to mental health services, substance abuse treatment, housing resources, career development services, and related supports.
  • Maintains effective communication with General Sessions Court personnel, District Attorney’s Office staff, and state/local law enforcement and probation agencies as required for case coordination and compliance monitoring.
  • Assists with preparing and submitting monthly statistical reports; compiles data, supporting documentation, and offender information as required.
  • Assists with front desk and reception duties as needed, including routine administrative support and office coordination.
  • Assists with ordering program forms and supplies and ensuring an adequate inventory is maintained for office operations.
  • Oversees and assists with monitoring probation-related activities for offenders residing out of state to ensure continued compliance with supervision requirements.
  • Performs other incidental and related duties as required and assigned.
Required
  • High school diploma or general education degree (GED) or an equivalent combination of education and experience
  • Ability to pass a physical and drug screen administered through a licensed physician.
  • Ability to successfully complete a pre-employment criminal background check.
SUPERVISORY REQUIREMENTS

This position has no supervisory responsibilities.
