Position Purpose

The primary purpose of this position is to support the Admissions Office by greeting guests and answering phones, along with general office duties such as mail, fielding general inquiries from prospective students, and assisting the Guest Experience Coordinator. This is a part‑time position (20 to 25 hours per week).

Responsibilities
  • Greets, assists, and manages all guest visits to campus; displays a warm, welcoming and caring personality that leaves a lasting impression.
  • Prepares for guests by learning names, hometowns, Concordia connections, and interests in advance of the visit whenever possible. When possible, researches alumni connections to their school or congregation and mentions connection.
  • Manages diplomats (student workers), with primary functions being co‑lead in the interviewing and hiring decision, training and orientation. Also monitor daily work to ensure all campus visitors have quality experiences.
  • Answers all incoming phone calls and email communications in a professional manner; with an ability to answer general questions about Admission and the University.
  • Opens, sorts, and delivers incoming mail and correspondence; prepares outgoing mail for delivery under direction of Assistant Director of Undergraduate Operations, including preparing the mail that queues up daily in the CRM.
  • Manages the guest welcome area including drinks, coffee, displayed material, and overall cleanliness. Purchases hospitality consumables on P‑card account. Orders Pepsi product restock as needed.
  • Assists Guest Experience Coordinator in guest welcome lanyards, Visit Day folders, creating personal guest schedules, and other visit materials.
  • Serves as back‑up on all Admissions data entry processes and duties in the CRM and Banner recruitment programs.
  • Monitors inventory of swag materials and orders restock of recruitment materials via XJT. Monitors and orders general office supplies.
  • Other duties as assigned.
Qualifications
  • Education:

    High School Graduate
  • Experience:

    Previous office, guest experiences, and administrative experience.
  • Certifications:

    Valid driver's license.
  • Proficiencies:
    • Proficiency in the use of software applications including Microsoft applications, databases, spreadsheets, and word processing.
    • Excellent verbal and written communication and organization skills.
    • Ability to work with a diverse group of guests and situations.
    • Able to work independently to achieve position requirements, while supporting a larger team.
