General FunctionAs a Catering Coordinator, this position will be responsible for setting department standards for customer service, employee relations, cleanliness, sanitation, professional appearance, and overall profitability. The Coordinator coordinates the delivery of the freshest and best quality products at competitive retail prices while ensuring a positive company image through courteous, friendly, and efficient service to customers and team members.
Reporting RelationsAccountable to and reports to the District Store Director, Store Manager, Assistant Managers of Store Operations, Perishables, and Health & Wellness Home. Reports to department employees.
Primary Duties and Responsibilities- Maintain a positive attitude and create a friendly atmosphere through flexibility and teamwork.
- Encourage employees to greet and speak to customers, providing prompt, courteous, and efficient service.
- Set department standards for customer service, employee relations, cleanliness, sanitation, professional appearance, and profitability.
- Serve customers with caring, concern, and patience, treating them as the most important people in the store.
- Smiles and greets customers in a friendly manner throughout the store.
- Learn customers’ names and address them by name whenever possible.
- Assist customers by escorting them to required products, securing out‑of‑reach items, loading or unloading heavy items, and passing along suggestions or requests.
- Answer the telephone promptly and provide friendly, helpful service, handling and satisfying customer issues.
- Determine department goals with the store director and meet with customers to assess their needs.
- Write detailed orders and coordinate with all departments (kitchen, bakery, delicatessen, etc.) to fulfill them.
- Contact businesses and prospective customers to inform them about Hy‑Vee catering services.
- Develop contracts for exclusive Hy‑Vee only catering events.
- Recommend and purchase equipment with store directors’ approval and consult with customers on available rental companies.
- Attend department manager meetings and obtain baseline prices from them.
- Set retail pricing and ensure correct pricing.
- Prepare customer bills, extend invoices, post invoices, and oversee department bookkeeping procedures.
- Develop and maintain standard catering practices and perform quality control for multi‑catering events.
- Answer phone calls and return call‑backs from voicemail in a timely manner.
- Develop guidelines for department performance in the manager’s absence.
- Organize shows and events for the store, such as bridal and holiday shows; set up displays and communicate with the events coordinator for annual event information.
- Ensure proper temperatures and storage procedures are maintained to guarantee freshness and control shrinkage of product.
- Understand and troubleshoot equipment, ensuring maintenance is performed.
- Maintain strict adherence to department and company guidelines related to personal hygiene and dress.
- Adhere to company policies and individual store guidelines; report to work when scheduled and work the expected number of hours.
- Ensure competitive pricing in the market area.
- Attend meetings and seminars and participate in continuing education.
- Perform departmental duties as needed.
- Assist in other areas of the store as required.
- Perform other job‑related duties and special projects as required.
- Ability to solve practical problems and comprehend complex concepts.
- Proficiency in arithmetic calculations involving fractions, decimals, and percentages.
- Ability to compose original correspondence and follow technical manuals.
High school diploma or equivalent and one to three years of related work experience.
Supervisory Responsibilities (Direct Reports)Instruct, assign, review, and plan work of others; maintain standards, coordinate activities, and address employee problems. Have authority to recommend employee discipline, transfer, and discharge.
