The Office Coordinator will be responsible for ensuring the smooth, organized and efficient day-to-day running of the company office. The role involves coordinating administrative activities, managing documentation, supporting management and staff, communicating with suppliers and customers, arranging meetings and ensuring that office operations are handled professionally and on time.
Key Responsibilities- Coordinate daily office and administrative activities.
- Manage correspondence, emails, documents and company records.
- Prepare reports, letters, quotations and other business documents.
- Coordinate meetings, appointments, travel arrangements and schedules.
- Handle incoming calls, visitors and general enquiries professionally.
- Maintain office supplies, equipment and administrative requirements.
- Coordinate with suppliers, service providers and external parties.
- Support HR with attendance, employee documentation and general administration.
- Assist management and other departments with administrative requirements.
- Maintain organized filing systems, both physical and electronic.
- Follow up on pending tasks and ensure deadlines are met.
- Assist with invoices, purchase requests and basic administrative records.
- Ensure the office remains professional, organized and well maintained.
