Job DescriptionJOB GOAL:
Support the Assistant Superintendent of Administration and Finance in all aspects of the business operations of the district, including but not limited to budget development and monitoring, accounting and reporting, accounts receivables, grant and revolving fund activity, student activity accounts, scholarship/trusts, maintenance and operations, food services, transportation services, capital projects and procurement.
REPORTS TO: Assistant Superintendent of Administration and Finance
DUTIES & PERFORMANCE RESPONSIBILITIES- Perform accounting duties to track school budgets, prepare required reports and records, and provide information and assistance on accounting and budgeting. Perform journal entries and budget adjustments as needed.
- Oversee bookkeeping of student activity accounts at the three elementary schools, Middle School and High School. Verify monthly financial statements and reconciliations. Review and approve transfer requests for student activity accounts. Provide training and assistance to school staff who work with student activity accounts.
- Oversee state, federal, and private grant financial activity: review and submit fiscal approvals for grants within DESE’s online grants platform; monitor budget vs actual expenditures throughout the year; monthly reconcile DESE grant budgets to MUNIS; create MUNIS accounts for grant funds; propose journal entries and other measures to adjust expenses as needed to reconcile with grant approvals; communicate with grant managers;
request monthly drawdowns; and complete and submit final grant reports to DESE. - Oversee the school departments’ Scholarship Trust Accounts finances. Process the annual awards.
- Manage and expand online payment options for fee‑based programs and activities; create fee types in the system; communicate with parents and schools concerning questions; monthly reconcile online fee payments with MUNIS deposits.
- Perform Chart of Accounts maintenance to facilitate internal management of budgets, revenue, and expense line‑items to comply with the DESE Chart of Accounts. Determine account coding segment values for new accounts and create accounts in MUNIS.
- Review requisitions submitted by school departments for purchase order accuracy, cost efficiency and proper accounting identification. Approve all MUNIS requisitions that meet MCL procurement threshold and/or district thresholds.
- Collaborate with HR and payroll staff to track position control, and monitor changes to the personnel budget.
- Support school and department leaders in managing their current‑year budget and developing future budgets. Assist with the preparation of the annual budget. Review expenditures for all funds and analyze budget variances.
- Provide support and assistance to finance office staff in performing their duties, including supervision in the absence of the Assistant Superintendent.
- Manage fiscal year rollover process; carry forward encumbrances and fund balances across fiscal years.
- Provide training to school department staff on the use of accounting software and procedures.
- Prepare the DESE annual End‑of‑Year Financial Report.
- Coordinate activities for annual audits, federal and state grant audits, and student activity account audit.
- Coordinate School Committee scholarship program for full‑day kindergarten, transportation and athletics.
- Assist in the management of student transportation program and food services program.
- Develop, review, and maintain up‑to‑date documentation of financial policies and procedures; monitor for compliance to ensure the district’s fiscal practices follow statutes, regulations, and best business practices.
- Work cooperatively with town offices regarding the accounting and processing of all fiscal issues.
- Perform any other tasks or assume such other responsibilities as directed by the Assistant Superintendent of Administration and Finance.
- Bachelor’s degree, preferably in Accounting.
- Knowledge of accounting principles and practices; analysis and reporting of financial data.
- Experience using financial management and accounting software (MUNIS preferred).
- Excellent analytical and computational skills.
- Mastery of Excel and Microsoft Office/Google Suite.
- Strong communication skills, especially translating financial information into easy‑to‑interpret actionable reports, presentations, and findings.
Twelve‑month. Salary $90,000 -$110,000.
